Job Summary:
The Community Association Manager is responsible for managing the daily communication and responsibilities for a portfolio of communities. After a training period and co-managing with our seasoned community managers, you will be able to start providing direction and leadership to your own communities. This will be done by ensuring properties are maintained and operated in accordance with the board of directors and governing document policies for each community. This position requires strong computer and Internet research skills, daily flexibility, excellent interpersonal communication skills, and the ability to work well with a variety of clients. Sensitivity to confidential matters and the ability to balance project demands are also important skills for this role.Responsibilities:
Works closely with the Board of Directors to provide the necessary support to meet the needs of the Community and Residents. Analyzes advantages and disadvantages of alternative solutions to problems and makes recommendations to the Board of Directors. Listens attentively to questions and comments. Communicate in a professional and composed demeanor under all circumstances, including communicating well through effective writing. Responds to phone calls and correspondence in a timely, professional manner. Maintains a professional relationship with BOD, Unit Owners, and vendors. Acquires and maintains current knowledge of state regulatory agency statutes and each client's community's documents, policies, and procedures. Ability to supervise and oversee projects/contracts performed by vendors. Display experience in management of maintenance requirements for both large and small communities. Experienced in compliance rules/regulation inspections within community rules and governing documents, including subsequent notice and follow up. Ensures property improvement and other construction related projects are completed on time and within budget by effectively monitoring all capital projects. Requires a working knowledge and understanding of basic financial statements, including income statement, balance sheet, and budget vs actual. Assists with development of annual budgets, provides input to boards regarding expense and budget management. Ability to run a BOD meeting when necessary according to Robert's Rules of Order. Understands and follows directions given by the BOD and conscientiously completes them. Creates effective management reports, which depicts the condition of the property, progress of specific projects, and makes clear and concise recommendations. Prepares professional presentation of reports, budgets, bids, etc. Offers helpful input for suggestions for improved policies and procedures. Acts quickly and effectively when the situation demands it. Organizes time effectively and successfully balances the competing demands of multiple projects. Possess attention to detail and the ability to problem solve. Handles emergency issues after hours associated with the property or as needed.Skill Requirements:
Excellent organizational and time/task management skills. Strong customer service skills. Strong interpersonal and communication skills to include email, telephone, and in person communication. Strong computer skills and proficiency in the use of Microsoft Word, Excel, Google Workspace, standard email, scanner, copier/printer, laptops, office telephones. 30 WPM typing speed or greater. Ability to learn new software quickly. Ability to work independently and as a team member. Self-starter/takes initiativeProblem-solver Education/Training :
Bachelor's degree preferred (B.A or B.S) in Business or related field from a four-year college or university, or equivalent combination of education and experience.CMCA/PCAM
license is a plus but not required. Computer and smart phone/tablet experience. Valid driver's license and good driving record. Ability to pass a criminal background check Interest in the real estate industry. Opportunity to obtain a VA Real Estate License/Community Management Certification, if desired.
