Job Description

Description Robert Half has an exciting opportunity with one of our government clients in San Carlos. We are looking for an experienced administrative specialist to support day-to-day office functionality. This contract opportunity is ideal for someone who can balance public interaction, detailed documentation, and financial coordination with professionalism and sound judgment. The role calls for a highly organized individual who communicates clearly, manages competing priorities effectively, and helps keep business processes running smoothly.
Responsibilities:
+ Liaise with internal departments to facilitate cross-functional communication and project coordination + Provide front-line administrative support for Building & Public Works operations, including answering phones, responding to emails, and assisting walk-in inquiries + Assist with the intake, processing, and tracking of permit applications, ensuring accuracy and completeness of documentation + Maintain and update records, databases, and filing systems in compliance with municipal regulations and retention policies + Prepare correspondence, reports, and public notices related to permits, projects, and public works activities + Support Public Works functions such as work order tracking, service requests, and project documentation + Process payments, fees, and invoices related to permits and municipal services + Assist with public information requests and ensure transparency and responsiveness to community needs + Ensure compliance with local ordinances, policies, and procedures Requirements + At least 3 years of administrative support experience, preferably in a government, municipal, or other public-facing environment. + Strong verbal and written communication skills, with the ability to interact effectively with staff, vendors, and the public. + Demonstrated ability to stay organized, manage multiple assignments, and maintain accuracy in a fast-paced setting. + Proficiency with Microsoft Office applications, including Word, Excel, and Outlook. + Experience handling invoices, purchase orders, accounts payable support, or related financial administrative tasks. + Customer service skills grounded in patience, professionalism, and practical problem-solving. + Familiarity with record retention, document control, and administrative support for meetings or compliance-related activities. + Exposure to financial systems or government-related programs, contracts, or compliance processes is preferred.
