Under the supervision of the Chief Judge and Court Administrator, the Assistant Court Administrator assists with ensuring efficient court operations and court management issues in accordance with Supreme Court Rules and Statutes on a Circuit-wide basis. The Thirteenth Judicial Circuit is comprised of LaSalle, Bureau and Grundy Counties. Under the overall supervision of the Trial Court Administrator, the Assistant Court Administrator has the responsibility of supervision of the Bailiffs in LaSalle County, including but not limited to: recruiting, hiring, training, scheduling, tracking leave balances and all other personnel related issues. Reports any issues with employee performance to the Trial Court Administrator. Prepares and submits vouchers for payment to Auditor. Maintains information on seminars and training programs, provide information to Judges, complete necessary correspondence to the Administrative Office. Schedules interpreters as needed for court dates. Receives and processes all information regarding mediation orders and reports, and prepares Quarterly reports for the Administrative Office. Schedules and processes all weddings for Judges in LaSalle County. Orders supplies and robes for court personnel. Maintains records for absences and overtime of court personnel. Assists patrons as needed in the LaSalle County Self-Help Center. Schedules and provides for tours of court facilities. Provides information to the media as directed by the Chief Judge. Performs other duties as assigned or directed. Maintains compliance with all company policies and procedures. Assists, and in the absence of the Trial Court Administrator, performs the following duties: Oversees management of the Jury Commission. Budget preparation and administration, payroll, purchasing and audit functions. Prepares and analyzes pending caseloads statistics to improve case processing efficiency. Collects and prepares data as requested by the Administrative Office of the Illinois Courts, including statistical reports, quarterly reports and requests for reimbursement. Provides support to judges and other court staff in the daily operations of the court system. Represents the court through effective communication and serves as a liaison between the Chief Judge, Administrative Office of the Illinois Courts, Court Reporting Services, local governmental units and community service organizations, the public and the media. Develops, implements and ensures compliance with court system policies and procedures, long range equipment and facility plans, maintains property control records, conducts physical inventories and ensures the Court's equipment is properly maintained. High School Diploma required. Associate's degree or higher level college attainment preferred; equivalent work experience will be considered. Must be able to operate office equipment and have experience with Microsoft office programs. Excellent verbal and written communication skills to effectively interact with the general public, attorneys, judges, co-workers and supervisors.
