•Job Overview This position provides administrative and clerical support to City Administration staff. The role performs a variety of office and customer service functions requiring confidentiality, accuracy, and organizational efficiency.
NOTE:
Employee may be required to respond to a disaster, either natural or man-made, to serve the citizens of Statesville and meet the needs of the organization, which may result in the assignment of other duties and take precedence over duties described in this job description. This job description is not intended to be all-inclusive. Provides administrative support to City Administration staff. Performs general office duties such as typing, answering telephones, operating office equipment and processing mail. Prepares, formats, and edits correspondence, reports, legal documents, and meeting minutes from notes, drafts, or verbal instructions using standard computer software. Maintains and manages digital and physical filing systems; retrieves and distributes records to authorized users in accordance with records retention and confidentiality requirements. Schedules and coordinates appointments, meetings, interviews and travel arrangements. Researches, compiles, and assists in preparing reports and other documents. Provides information and explains departmental and City policies and procedures to employees and the public. Assists with coordination and administrative support for City Boards and Commissions, including recordkeeping and retention. Serves as primary backup to the City Clerk, which may include attending meetings outside of normal business hours. Performs other duties as assigned. Education and/or Experience High School Diploma or GED. Three (3) years of administrative, clerical, or office support experience. Knowledge, Skills and Abilities Basic knowledge of general office practices, procedures, and equipment. Ability to maintain confidentiality and handle sensitive information appropriately. Proficiency in Microsoft Office (Word, Excel, Outlook). Strong organizational skills and attention to detail. Ability to communicate effectively, both verbally and in writing. Ability to prioritize tasks, meet deadlines, and work independently or as part of a team. Job Related Physical Requirements This position involves sedentary work requiring the exertion of 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met; vocal communication is required to express thoughts and exchange information; hearing is required to respond to spoken words, to receive and understand information, and/or to make fine distinctions in sound; visual acuity is required for preparing and analyzing written or computer data, operation of equipment, determining the accuracy and thoroughness of work, and observing general surroundings and activities. Working Conditions An employee in this position is not substantially exposed to adverse environmental conditions. This employee may be required to work nights and weekends.
