Job Description

High school diploma or GED; three years of increasingly responsible administrative experience in a legal environment; or an equivalent combination of training and experience. Substantial experience as an executive secretary to a judicial officer, lawyer or other high level executive preferred. Prior experience in a court setting and experience working with elected officials preferred. Pre-employment drug testing, FBI criminal background check, and education/degree verification required. Under the direction of six circuit court judges and the general supervision of the judicial administrator, this position requires independent judgment to effectively perform work. This position is responsible for providing high-level case processing, specialized legal support for six circuit court judges in a highly confidential and complex legal environment for the county's highest court of record - a work context that is appreciably more complex, sensitive and deadline driven than a traditional legal office setting. This position is also responsible for providing a variety of administrative support and technical work functions for the court. In addition to preparing the master dockets for the Circuit Court judges, both presiding, and retired, this position also handles the intake and filing of all records sent to the judge's attention. This position is also responsible for independent clerical duties by overseeing proper case organization, case filings, docket preparation, assembly of the official hardcopy of the Court's records filed in the Clerk's Office and Judges' Chambers, generating the master docket for all judges, establishing/retrieving criminal or civil files for those cases scheduled for court, and submitting papers needing proper attention or action taken by the Court, generating post-court civil orders, as well as additional court administration work as noted below. Responsible for managing various record management needs of the department including the judges official court schedules, the circuit court case management system and various documents required by each judge. Responsible for distributing each judge's daily docket with necessary documents that will be needed in court. Provides specialized legal support for special sessions of court including pre-court preparations, and follow-up after court proceedings. Due to the small size of the department, this role must be cross trained in other critical staff roles and provide back-up as needed. Perform other work as required.
