Job Description

GENERAL DESCRIPTION
: The Wyoming Department of Corrections is looking for a Full-time Office Support Specialist II to join the Field Services team in the Casper Probation and Parole Office. This will perform various routine and detailed clerical and administrative functions to further the overall office operations of the Probation and Parole Offices. This position also necessitates consistent, professional interaction with staff, offenders, victims, the public, the judicial system, law enforcement, local organizations, and public/private service providers. The Field Services Division is responsible for the community supervision and case management of probationers and parolees. FUNCTIONS
: The listed functions are illustrative only and are not intended to describe every function that may be performed in the job level. Performs lead-level administrative and support duties. Manages the day-to-day operations of assigned programs, projects, or functions between a variety of sources, as well as the office maintenance and inventory; may provide oversight of a regional office. Acts as a resource to provide information or interpretation of agency specific rules/regulations to staff, public or other government entities, and/or to determine the most effective way of meeting the needs of management, staff, clients, or customers. Plans and coordinates meetings. Reviews cases, applications, files, records, etc., to determine action to be taken. Resolves some light computer/network problems. Responsible for program integrity assurance. Provides a review and evaluation function to ensure that compliance issues/concerns within the organization are being appropriately evaluated, investigated and resolved. Develops/implements corrective action plans for the resolution of problematic issues, and provides general guidance on how to avoid or deal with similar situations in the future. Request and receive bid quotes, researching and resolving issues with vendors. Creates and edits reports & documents for management. Manages schedules and timelines for managers. Management and oversight of all office equipment and supplies. Responsible for processing, maintenance, and quality control of records and documents. Performs program and/or fiscal duties. Compiles vital information. Coordinates program functions between a variety of sources.
PREFERENCES
Preference may be given to candidates with prior experience with the Judicial system or criminal justice exposure.
KNOWLEDGE
: Knowledge of applicable computer applications. Knowledge of records processing and maintenance procedures and systems. Knowledge in the preparation of complicated documents. Knowledge and understanding of the agency and each respective division/program. Ability to cope with constant interruptions, deadlines, and unexpected projects. Ability to remain positive and professional with a wide variety of people and sensitive situations. Ability to proofread and edit to ensure the accuracy of documents. Ability to maintain composure under stressful, daily responsibilities. Ability to maintain confidentiality and determine what information is confidential and what information can be shared with the public.
MINIMUM QUALIFICATIONS
Education:
Associate's Degree (typically in Business)
Experience:
0-2 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an
Office Support Specialist I OR Education & Experience Substitution:
2-4 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an
Office Support Specialist I Certificates, Licenses, Registrations :

PHYSICAL WORKING CONDITIONS
: Typically, the employee may sit comfortably to perform the work; however, there may be some walking, standing, bending, carrying light items, driving an automobile, etc. Special physical demands are not required to perform the work.
