We are a growing, owner-operated business that values craftsmanship, accountability, and long-term relationships with both customers and employees. Role Summary The Purchasing & Receiving Assistant supports the Purchasing & Receiving Manager in the day-to-day flow of materials—from order placement through receiving. This role is instrumental in maintaining accuracy, speed, and reliability across the ordering and receiving process. The Assistant executes tasks with precision under the direction of the Manager, contributes to a high-accuracy ordering environment, and ensures materials are properly received, organized, and staged to support installation timelines. Core Responsibilities 1. Order Support & Accuracy Assist the Manager with placing and tracking material orders (glass, hardware, accessories) Review and verify order specifications for accuracy prior to submission Develop expertise in various product offerings Maintain organized order records and documentation Follow up on outstanding orders and communicate status updates 2. Vendor Communication Communicate with vendors on routine order status and delivery inquiries Escalate vendor issues or delays to the Manager promptly Maintain a professional and organized approach to all vendor interactions Assist in tracking lead times and delivery schedules 3. Process & Administrative Support Follow established SOPs and quality standards for ordering and receiving Collaborate and participate in creating new SOPs Identify potential process inefficiencies and communicate observations to the Manager Assist with maintaining accurate records in CRM and business software systems Support the Manager with special projects, reporting, and day-to-day administrative needs 4. Cross-Functional Coordination Work cooperatively with Project Managers, the Installation Team, and Production Communicate proactively about order status and potential material delays Help ensure materials are available and ready to support installation schedules 5. Receiving & Inventory Support (As needed) Receive incoming materials and verify accuracy against purchase orders Inspect deliveries for damage or discrepancies and immediately report issues Assist with inventory counts and stock organization Qualifications & Experience Required 1+ year in an ordering, purchasing, warehouse, receiving, or operations support role Strong attention to detail and commitment to accuracy Excellent written and verbal communication skills Proficiency with computers; comfortable learning CRM systems and business software Ability to manage multiple tasks and meet deadlines in a fast-paced environment Reliable, proactive, and self-directed with a strong work ethic Comfortable handling confidential information with discretion Preferred Experience in a small business, construction, or trades environment Familiarity with glass, building materials, or specialty product ordering Experience with inventory management or warehouse operations Work Environment & Physical Demands This role is based in-office at Alluring Glass's Cincinnati, OH location. Flexibility to meet business needs, including occasional evenings or weekends, may be required. The role may include visits to construction sites, which can involve walking on uneven surfaces. Must be able to sit for extended periods, use a computer, and lift or move packages and materials as part of receiving duties. Travel to vendor locations or other jobsites may occasionally be required. Classification This position is classified as non-exempt under the Fair Labor Standards Act (FLSA).
