Our Purchasing Assistants play a vital role in keeping our operations running smoothly by ensuring materials, tools, and supplies are ordered accurately, received on time, and properly documented. This role supports our purchasing, inventory, and shipping/receiving teams and directly impacts our ability to serve customers efficiently. You'll be a great fit at Power Mechanical if you: Enjoy being organized and keeping systems running efficiently Take pride in accuracy, follow-through, and attention to detail Communicate clearly and professionally with vendors and teammates Like solving problems and tracking down missing information Are dependable, punctual, and self-motivated Value teamwork, accountability, and a culture built on trust Value standard processes, procedures and are comfortable providing direction for others to remain in compliance Think strategically and outside-the-box As a Purchasing Assistant, you will: Place purchase orders and request quotes in support of the Purchasing Manager Proofread job numbers, quantities, item cards, and PO details for accuracy Routine daily purchase order expediting (calls and emails to vendors), updating ERP system with line items, order status, delivery dates, and missing documentation Communicate PO numbers, order details, and delivery expectations to requestors Research and resolve unreceived or open purchase orders Close out POs that should have been received by month-end Research and resolve missing credit card receipts and PO paperwork Scan, attach, and maintain purchasing, receiving, and invoicing documents within the ERP system Receive and invoice purchase orders as needed Obtain invoices from vendors when required Prepare tools for vendor repair Assist with preparing BOLs, PRO tickets, and UPS inbound/outbound shipments Operate a forklift as needed (training provided) Log and report process discrepancies Support the Purchasing Manager, which may include assisting other functional areas as needed Perform other duties as assigned We care about your potential as much as your experience.
Successful candidates will possess:
High school diploma or equivalent Experience in an industrial or manufacturing environment Strong organizational skills and attention to detail Ability to work independently and as part of a team Effective verbal, written, and listening communication skills Computer proficiency including spreadsheets, email, and word processing Working knowledge of ERP/MRP purchasing systems (Microsoft Dynamics Great Plains preferred) Analytical skills with the ability to research and resolve discrepancies Excellent internal and external customer service skills Dependability, humility, and a strong work ethic Knowledge of structural steel, fittings, MRO items, and industrial parts, capital expenses, services (subcontracts, facilities, etc) Experience with Material Test Reports (domestic, international) Experience with scheduling and documentation (BOLs, labels, packing slips, etc.)-small package, LTL, FTL shipments (domestic, international) Preferred (but not required): Accounting experience Experience negotiating pricing to achieve best value Forklift experience (or willingness to be trained) If you don't meet every qualification but believe you would be a strong cultural fit, we encourage you to apply.
