Job Overview We are seeking a dedicated and detail-oriented Scheduling Coordinator to join our administrative team. The ideal candidate will possess strong organizational and communication skills, with a focus on managing appointments, coordinating schedules, and providing exceptional customer support. As a Scheduling Coordinator, you will play a vital role in ensuring efficient office operations, maintaining accurate records, and delivering outstanding service to clients and staff alike. This paid position offers an opportunity to develop your administrative expertise within a dynamic environment. Responsibilities Manage and coordinate appointment scheduling across multiple departments using various calendar management tools. Answer multi-line phone systems promptly and professionally, directing calls or taking messages as needed. Maintain accurate records through data entry, filing, and updating client or patient information in relevant software systems. Provide excellent customer service by assisting clients, patients, or visitors at the front desk with professionalism and courtesy. Utilize computer skills including Microsoft Office, Google Workspace, and QuickBooks for administrative tasks such as document preparation and bookkeeping. Ensure proper phone etiquette is maintained during all communications to foster positive interactions. Support office management activities by organizing files, proofreading documents, and managing correspondence efficiently. Assist with calendar management for staff or executives to optimize scheduling efficiency and time management. Perform clerical duties such as typing, proofreading, and maintaining organized filing systems to support daily operations. Skills Proficiency in office management software including Microsoft Office Suite (Word, Excel), Google Workspace (Docs, Sheets), and QuickBooks. Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment. Excellent verbal and written communication skills; bilingual abilities are a plus for diverse client interactions. Experience with multi-line phone systems and phone etiquette to handle high call volumes professionally. Demonstrated clerical experience with data entry, filing, proofreading, and general administrative support. Knowledge of office procedures such as calendar management, appointment scheduling, and record keeping. Familiarity with medical or dental receptionist duties is advantageous but not required; experience in customer support is essential. Strong computer literacy combined with attention to detail for accurate documentation and bookkeeping tasks. Ability to manage time efficiently while supporting multiple responsibilities simultaneously.
