Job Description

Job Summary We are seeking an energetic and detail-oriented Scheduling Coordinator to join our dynamic team! In this vital role, you will handle deposition scheduling, coordinate calendars, and ensure smooth communication between clients, court reporters and staff. Your proactive approach and excellent organizational skills will help streamline daily operations, enhance customer support, and maintain a well-organized office environment. Responsibilities Manage and coordinate schedules using various office management tools and software. Answer multi-line phone systems promptly with professional phone etiquette, directing calls efficiently. Maintain accurate records through data entry, filing, and updating client information in our Reporter Base software. Provide exceptional customer service by supporting clients with inquiries, appointment rescheduling, and general assistance. Oversee front desk operations, including greeting visitors, managing waiting areas, and handling clerical tasks such as document copying, conference room coordination and Zoom set-up and monitoring. Assist with calendar management for staff members, ensuring all appointments are scheduled accurately and conflicts are resolved swiftly. Support office management tasks such as filing, organizing documents, and maintaining supplies to ensure a productive work environment. Qualifications Proven experience in office management or administrative roles with strong clerical skills. Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook), Reporter Base a plus. Prior experience with multi-line phone systems and phone etiquette is highly preferred. Strong organizational skills with the ability to prioritize tasks efficiently and manage time effectively. Experience in customer support or customer service roles demonstrating professionalism and patience. Knowledge of office equipment such as printers.
