The ideal candidate will be responsible for coordinating surgical appointments, managing patient schedules, and ensuring seamless communication between patients, medical staff, and providers. This role requires proficiency in electronic health record (EHR) systems, strong administrative skills, and a solid understanding of medical terminology and billing procedures. The Surgery Scheduler plays a vital role in maintaining efficient clinic operations and delivering exceptional patient service. Duties Schedule surgical procedures and appointments. Verify insurance coverage, check benefits, and request insurance authorizations to facilitate a smooth billing process. Review patient documentation for accuracy and completeness prior to procedures. Coordinate with physicians, nurses, and administrative staff to ensure timely scheduling of surgeries. Manage patient communication via multi-line phone systems, ensuring professional phone etiquette and clear information dissemination. Maintain accurate medical records, including CPT coding, ICD-9/10 coding, and documentation review for compliance with HIPAA regulations. Assist with billing processes related to surgery scheduling, including medical billing and coding tasks. Prepare and update care plans, patient files, and other administrative documentation as needed. Handle intake procedures for new patients and update existing patient information in various office management systems like Medisoft or Dentrix. Support front desk operations by managing appointment calendars and providing excellent patient service. Skills Proficiency with EMR/EHR systems such as Epic, Meditech, Athenahealth, eClinicalWorks, Dentrix, Eaglesoft, or similar platforms. Strong knowledge of medical terminology, CPT coding, ICD-9/10 coding, ICD coding standards, and Medicare guidelines. Experience with medical collection processes and insurance verification procedures. Excellent organizational skills with the ability to manage multiple schedules efficiently. Exceptional communication skills including phone etiquette and bilingual abilities are a plus. Familiarity with medical billing practices and health information management standards. Proficient in Microsoft Office Suite (Word, Excel), typing (including 10 key typing), filing systems, and office management software such as Eaglesoft or Dentrix. Knowledge of HIPAA compliance requirements to ensure confidentiality of patient information. Previous experience in a clinical setting or medical office environment is preferred; dental office experience is advantageous. Ability to work independently while collaborating effectively within a healthcare team.
