Full Job Description Job Purpose:
The Executive Operations Coordinator provides high-level administrative, operational, and strategic support to the President/CEO, Senior Leadership Team, and Board of Directors. This role is central to ensuring the effective coordination of executive operations, board governance, and donor engagement activities.
Key Responsibilities:
Coordinate and manage executive schedules, appointments, and travel arrangements to ensure effective time management and prioritization of tasks. Serve as a liaison between executive leadership and internal/external stakeholders, facilitating communication and ensuring timely responses to inquiries. Prepare, edit, and distribute executive correspondence, reports, and presentations, maintaining accuracy and confidentiality. Assist in the planning and execution of executive meetings, including agenda preparation, minute-taking, and follow-up on action items. Support strategic initiatives by conducting research, compiling data, and preparing reports for executive review. Manage special projects and initiatives as assigned by executive leadership, ensuring alignment with organizational goals. Maintain and organize executive files and records, ensuring easy access and retrieval while adhering to confidentiality protocols. Coordinate and support executive events and functions, ensuring seamless execution and alignment with organizational objectives. Education and Experience Bachelor's degree in nonprofit management, business administration, communications, public administration, or related field required (or equivalent experience) 3-5 years of progressively responsible experience in administrative support, development, or executive support roles Experience supporting senior executives and/or boards of directors, including meeting coordination and governance support. Experience in fundraising, donor relations, or development operations preferred Experience planning and executing fundraising or stewardship events. Experience with CRM systems (e.g., Salesforce) and data management/reporting Experience coordinating complex schedules, travel, and logistics in a fast-paced environment. Familiarity with grant support (research, reporting, or writing) preferred. Knowledge of nonprofit governance (e.g., Robert's Rules) or willingness to learn Notary Public certification or willingness to obtain preferred.
Required Skills and Abilities:
Excellent organizational and multitasking skills, with the ability to prioritize tasks effectively. Strong communication skills, both written and verbal, with the ability to interact professionally with diverse groups. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software applications. Ability to maintain confidentiality and handle sensitive information with discretion. Strong problem-solving skills and the ability to work independently in a fast-paced environment. Demonstrated ability to work collaboratively within a team and foster positive working relationships.
