Full Job Description Position Summary:
The Enrollment Operations Coordinator supports the day-to-day execution of the admissions process and serves as a primary point of contact for prospective families. This role is responsible for managing admissions inquiries, coordinating campus visits and events, tracking applicant progress, and ensuring timely, organized communication throughout the enrollment journey. The Coordinator also oversees the logistical planning and coordination of recruitment initiatives, working closely with partner schools, parishes, PTGs/PTAs, student ambassadors, and school staff to ensure admissions events and outreach efforts are executed effectively. While primarily campus-based, the Coordinator may attend off-campus recruitment activities when operational support is needed.
Primary Responsibilities:
Enrollment Operations Manage incoming admissions inquiries through phone, email, website submissions, and other communication channels. Provide timely and professional responses to prospective students and families. Coordinate and schedule campus tours, Shadow Days, interviews, and admissions appointments. Track applicant progress and assist families throughout the admissions process. Maintain accurate admissions records and documentation. Ensure prospective families receive consistent communication and follow-up throughout the enrollment cycle. Recruitment & Outreach Coordination Coordinate scheduling, logistics, and communications for recruitment activities and outreach initiatives. Serve as the primary liaison for partner schools, parishes, PTGs/PTAs, and community organizations. Confirm participation, event details, and logistical needs for recruitment visits and presentations. Prepare materials and resources for admissions staff attending outreach events. Manage follow-up communications with school partners and prospective families after events and visits. Admissions Event Management Coordinate and execute admissions events, including Open House, Shadow Days, Articulation Reception, school visits, and special programs. Manage event registration, schedules, materials, staffing assignments, and facility preparation. Serve as the on-site coordinator for admissions events held on campus. Ensure event spaces are prepared before events and restored afterward. Support a welcoming and organized experience for all visitors. Student Ambassador Coordination Schedule and assign Regent Ambassadors and Regent Cubs for admissions activities. Communicate event expectations, schedules, and responsibilities to student participants. Coordinate ambassador involvement in campus tours, Shadow Days, Open Houses, school visits and recruitment events. Ensure student ambassadors are prepared to represent the school professionally and enthusiastically. Visitor Experience & Continuous Improvement Maintain a positive and mission-driven experience for prospective students and families. Ensure consistency across admissions events, campus visits, and communications. Gather feedback and identify opportunities to improve admissions processes and event execution. Support ongoing refinement of enrollment procedures and visitor experiences. Qualifications Strong organizational and project management skills. Excellent written and verbal communication abilities. Ability to manage multiple priorities and deadlines. Strong attention to detail and follow-through. Commitment to providing exceptional customer service. Ability to work occasional evenings and weekends for admissions events. Proficiency with Microsoft Office and database management systems. Experience in admissions, event coordination, customer service, education, or related fields preferred.

$20,000.00 per year
