Scheduling Coordinator

We're currently seeking an experienced Scheduling Coordinator to lead and elevate our front-end patient experience. As a Scheduling Coordinator , you will play a key role in ensuring the smooth coordination of patient treatments across a multi-disciplinary clinic. Your role is essential in creating a seamless and supportive experience for both new and returning patients.

Key Responsibilities:

Collaborate with clinical teams to implement and schedule provider-approved treatment plans. Initiate contact with new patients and introduce them to the clinic's services, treatment modalities, and fee structure. Provide each patient with our New Patient Information Binder, and stay informed of weekly updates or changes. Establish a "buddy system" to support patients during their treatment journey, considering their ambulatory capabilities and support needs. Ensure patients are aware of all clinic resources and feel supported from their first interaction. Provide patients with tour of the clinic. Serve as the primary point of contact for assigned patients throughout their care Follow up promptly after initial consultations to answer questions and reinforce understanding. Educate patients on available therapies, ensuring clarity and confidence in their care plan. Request and manage medical records from outside referring providers following initial visits. Schedule consultations with specialized providers and coordinate follow-up appointments. Arrange additional diagnostic services, including labs, scans, or imaging, as directed by providers. Ensure smooth, efficient coordination across departments to maintain continuity of care. Track patient progress through the scheduling system and flag any delays or gaps in the treatment timeline.

Qualifications:

2-4 years of experience in medical scheduling required. Proven ability to handle multi-provider, multi-modality scheduling in a high-volume setting. Proficiency with EMR and scheduling software (EClinical Works is a plus). High school diploma or equivalent - Required; Associate's or Bachelor's degree in healthcare or related field Preferred. Familiarity with integrative/functional medicine is a plus. Prior experience supporting patients with chronic conditions or complex care needs strongly preferred.
