This role offers an exciting opportunity to contribute to organizational efficiency by managing administrative tasks, coordinating communication, and ensuring seamless daily activities. The ideal candidate will be proactive, highly organized, and possess excellent communication skills, with a passion for delivering exceptional customer support and maintaining efficient office workflows. Duties Manage front desk responsibilities, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette Oversee office management tasks such as filing, data entry, and maintaining organized records using tools like Google Workspace and Microsoft Office Assist with bookkeeping using QuickBooks to track expenses, invoices, and financial records accurately Support calendar management and scheduling for team members, including personal assistant duties when needed Handle clerical duties such as proofreading documents, preparing reports, and managing correspondence to ensure clarity and accuracy Maintain office supplies inventory and coordinate procurement to ensure smooth daily operations Provide exceptional customer service by responding promptly to inquiries and supporting client or vendor communication Skills Proficiency in QuickBooks for bookkeeping and financial recordkeeping Strong computer skills with expertise in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications Excellent organizational skills with the ability to multitask effectively in a fast-paced environment Bilingual abilities are highly desirable to support diverse client needs Experience with office management, clerical tasks, and administrative support functions Exceptional phone etiquette and experience managing multi-line phone systems High level of computer literacy including data entry, proofreading, filing, and document management Strong time management skills with the ability to prioritize tasks efficiently Personal assistant experience or previous office experience preferred to handle varied responsibilities confidently Join us as an Operations Assistant and be a vital part of a vibrant team dedicated to operational excellence!
