Job Summary We are seeking a professional and detail-oriented Operations Assistant for a contract/temporary opportunity in Livermore, CA. This Administrative Support role is ideal for a dependable front office professional with strong receptionist, clerical, and customer service skills who enjoys supporting daily operations in a mission-driven real estate and property management environment. As an Operations Assistant, you will serve as a key first point of contact for visitors, callers, clients, residents, staff, and community partners. This position offers the opportunity to work with supportive leadership, collaborate with a team-focused administrative department, and contribute to an organization that values confidentiality, professionalism, public service, and positive community engagement. The ideal candidate is organized, courteous, adaptable, and comfortable balancing reception duties, document handling, communications, clerical support, and event assistance in a busy office setting. Key Responsibilities
- Answer multi-line phone calls professionally, route calls, take messages, respond to routine inquiries, and provide general information such as addresses, directions, applications, and department contacts.
- Greet visitors, determine the nature of their visit, follow security and access procedures, announce guests to appropriate staff, and maintain visitor logs.
- Receive, open, sort, log, and distribute incoming mail, faxes, internal communications, forms, and other documents while maintaining confidentiality.
- Prepare, type, format, revise, proofread, and file correspondence, reports, forms, statistical tables, and other administrative materials using office software and equipment.
- Coordinate timely routing and return of documents requiring executive signature, ensuring copies are maintained according to office procedures.
- Support administrative operations, resident engagement efforts, and public or resident events, including creating flyers, drafting email communications, setting up event spaces, and coordinating with outside agencies. Compensation and Benefits
