Objective The People Operations Systems Coordinator supports a team of two serving approximately 120 colleagues across 16 states and 30 markets. This is a technical execution role focused on systems administration and workflow automation. The Coordinator absorbs recurring configuration, automation, and process-execution work, allowing People Operations leadership to focus on strategy, compliance, and complex matters. This role reports to the Chief People Officer. Responsibilities UKG Administration Rescaffold and upload document, workflow, and notification configurations within UKG that impact the lifecycle of the applicant and the current colleague in the system. Maintain configuration accuracy across the document, workflow, and notification layers. Workflow Automation Design, build, and maintain Power Automate flows that support People Operations processes. Develop in a test environment and advance to production ownership only after demonstrated accuracy and review. Reporting and Analytics Build, not merely read, reports and dashboards in Power BI and Excel. Construct structured workbooks with formulas, lookups, and pivot tables to support People Operations metrics, audits, and leadership reporting. AI-Assisted Workflows Operate approved AI-assisted tools, including Claude and other AI platforms, at a human approval gate. Support assisted workflows without autonomous execution. Process Execution Own recurring operational tasks once proven, including compliance training assignment tracking, leadership dashboard and board upkeep, and audit support data preparation.
Qualifications Education:
holds a completed college degree, or is actively enrolled in and pursuing a college degree. Demonstrated build capability evidenced by relevant certifications or extensive hands-on experience with the core tools, particularly Excel, Power Automate, and Power BI. Technical expertise across the role's core tools, with the ability to learn new systems quickly. Builder-level proficiency in Microsoft Excel; able to construct workbooks from scratch using complex formulas, lookups, nested logic, and pivot tables, not solely read or update existing files. Proficiency in Power Automate for building and maintaining workflow automations. Proficiency in Power BI for building reports and dashboards. Strong overall comfort across the Microsoft 365 suite. Comfort using AI platforms such as Claude to assist and accelerate work. Follows directions and documented protocols precisely and reliably. Self-starter who moves work forward without being prompted. Sound judgment, particularly knowing when a situation falls outside protocol and warrants escalation rather than improvisation. Demonstrated accuracy in detailed systems work, with a track record of catching errors before they ship. Strict discipline using only approved company systems and accounts, with no use of unauthorized tools or personal accounts for company work. Clear, reliable written communication and consistent responsiveness. Discretion and maturity handling confidential colleague and payroll data.
Preferred:
hands-on UKG or comparable HRIS or HCM experience.
