Founded in 1989 and headquartered in London, VSI owns and operates 28 studio facilities across Europe, the US, the Middle East and Latin America with trusted partnerships in Asia. VSI works across a wide range of sectors, from broadcast, VOD, theatrical and gaming to corporate and creative. Job Overview We are looking for a Talent Coordinator to join our VSI Los Angeles studio to book talent as requested by our team of Dubbing Producers. You will report to the VSI Los Angeles' Head of Operations, and you will get support from our casting and Dubbing production team. This is a fulltime position and will be required to be on-site at our Van Nuys studio. Key Responsibilities Working in conjunction with the Dubbing Production team, Casting Coordinator and Freelance directors you will be responsible for scheduling talent for recording sessions and collect associated paperwork. Duties include, but are not limited to the following:
  • Creating recording schedules for each assigned project.
  • Scheduling recording engineers, actors and directors for recording sessions by managing their availabilities according to the loop-count and keeping day by day chart up to date.
  • Update Day by Day and Farmer's Wife as needed reflecting scheduling changes
  • Assist on casting calls by reaching out to agencies as needed
  • Certify talent recording hours after each session by reviewing and approving Exhibit Gs and or timesheets for each project
  • Disseminating paperwork (contracts, NDAs, tax paperwork, etc.) to actors and/or actors' representatives for all projects recording at VSI.
  • Ensuring all talent paperwork in collected in a timely fashion and archived for internal use and client delivery.
  • Coordinate with the Head of Human Resources and Administration on approving new hire paperwork.
  • Work with the Production Payroll Coordinator to manage payment of actors via the 3rd party payroll company.
  • Updating payroll tracker to indicate status of paperwork for all projects.
  • Providing backup coverage for the Administration and Operations assistant during lunch breaks or time off (vacation, sick, etc.)
  • Assist Dubbing Producers with project related tasks like Loopcount creation or dub cards submission. Essential Skills and Experience
  • Prior administrative experience required.
  • Previous booking/scheduling experience at a recording studio or post-production facility desired.
  • Strong organisation and multi-tasking skills.
  • Excellent communication skills.
  • Familiarity with scheduling tools, systems or apps desired.
  • Knowledge of studio practices and facilities helpful.
  • Budgeting and/or finance tracking skills.
  • Diplomacy and negotiation skills.
  • Possesses a positive, professional and collaborative attitude.
  • Ability to work to tight deadlines while under pressure.
  • Ability to work 40 (or more) hours per week to fulfil position duties and responsibilities.
Pay:
$18.00 - $24.00 per hour
