In this vital role, you will coordinate and manage the scheduling of surgical procedures, ensuring seamless communication between patients, surgeons, anesthesia providers, and support staff. Your proactive approach will help optimize operating room utilization, improve patient experience, and uphold the highest standards of medical administrative support. This position offers an exciting opportunity to contribute to patient care excellence while working in a fast-paced, collaborative environment. Duties Schedule surgical procedures accurately within electronic health record (EHR) systems, ensuring all necessary documentation is complete. Verify insurance coverage and perform insurance verification for scheduled surgeries, including Medicare and other third-party payers. Coordinate with physicians, anesthesiologists, nursing staff, and patients to confirm operative dates and prepare necessary preoperative instructions. Review medical records and documentation to ensure all required information is accurate and complete prior to surgery. Maintain detailed records of scheduling activities, cancellations, reschedules, and patient communications while adhering to HIPAA regulations. Communicate effectively via multi-line phone systems and demonstrate excellent phone etiquette when interacting with patients and healthcare providers. Assist with billing processes related to surgical procedures by understanding CPT coding, ICD-9/10 coding standards, and medical billing procedures. Requirements Proven experience in medical scheduling within an outpatient surgery center or hospital setting; clinic experience is highly preferred. Strong knowledge of EMR systems such as HST; familiarity with Availity, E-bridge. Proficiency in medical terminology, CPT coding, ICD coding (ICD-9/10), and understanding of care plans and documentation review processes. Excellent computer skills including Microsoft Office Suite; typing skills including 10-key typing are essential. Exceptional organizational skills with the ability to manage multiple schedules efficiently while maintaining attention to detail. Bilingual abilities are desirable to serve diverse patient populations effectively. Knowledge of HIPAA regulations and health information management standards to ensure confidentiality and compliance. Strong customer service orientation combined with professional phone etiquette and clerical experience in a front desk or office environment. Ability to work well under pressure in a fast-paced environment while maintaining professionalism and accuracy.
