Job Description

San Diego Oasis is seeking a reliable, detail-oriented Event Operations Coordinator to support the setup, execution, and breakdown of events and rentals across our two centers. This position is essential to ensuring smooth operations, excellent customer service, and high-quality experience for rental clients and community partners. This role is ideal for students or individuals seeking meaningful, flexible part-time work. The schedule varies from week to week based on rental/event needs and requires strong follow-through and punctuality. About San Diego Oasis San Diego Oasis is a 501(c)(3) nonprofit organization dedicated to promoting lifelong learning, healthy living, and community engagement for older adults. Founded in 1987, San Diego Oasis serves more than 5,500 older adults annually through 4,500+ classes and mobilizes trained volunteers to support hundreds of at-risk elementary students.
We operate two centers:
Rancho Bernardo:
17170 Bernardo Center Drive (primary worksite)
La Mesa:
5500 Grossmont Center Drive (occasional shifts/events) In addition to programming, San Diego Oasis rents classroom and meeting space to businesses and community groups. The Event Operations Coordinator supports both internal events and rentals, ensuring spaces are prepared, technology is functional, and clients feel well supported on-site. Reporting & Collaboration This role reports directly to: Events and Rentals Manager Works closely with: Program staff, front desk volunteer team and external vendors. Scheduling & Availability Expectations This position is on-site. The Event Operations Coordinator must be able to: Work shifts in 2-5 hour blocks, weekends as needed (including every 4th Saturday) Travel between both centers as needed (Rancho Bernardo mostly; occasional La Mesa) Key Responsibilities1) Event & Rental Operations (On-Site Support) Set up and reset event spaces including tables, chairs, linens, signage, décor, and other event materials Assist with event execution, including guest flow support and quick problem-solving Serve as the on-site point of contact for rental clients during their event Support opening and closing procedures, including walkthroughs and ensuring spaces are secured Maintain cleanliness/order of spaces throughlight reset(trash removal/straightening), in partnership with onsite procedures
Note:
This role supports logistics and day-of execution. It does not negotiate rental agreements or pricing. Audio/Visual & Basic Technology Support Set up basic AV needs including projector/screen, microphones, speakers, Zoom setup, HDMI connections, and presentation support Provide basic troubleshooting during rentals/events and escalate complex issues as needed Ensure equipment is returned, stored properly, and reported if damaged/missing Inventory & Supplies Management Maintain inventory of event/rental supplies (AV cords, signage, materials, etc.) Track usage and alert supervisor of low stock or replacement needs Ensure event supplies are stored neatly and consistently Administrative Support Filter incoming rental inquiries/leads and assist with scheduling site visits Conduct site visits of either center when needed Complete rental/event documentation, including checklists and post-event notes Support data entry and reporting as assigned Safety & Compliance Ensure event setup complies with health, safety, fire, and venue policies Report incidents, safety hazards, or building issues to supervisor immediately Follow emergency procedures and support safe event execution Qualifications & Skills Strong reliability, follow-through, and punctuality Excellent customer service mindset and calm, professional demeanor Ability to work independently and adapt quickly as needs change Strong organizational skills and attention to detail Basic knowledge of event/rental operations (preferred) Physical Requirements Ability to lift and carry up to 40-50 lbs Ability to stand/walk for extended periods during events Ability to bend, climb step stool, and move equipment as needed Ability to set up and break down tables, chairs, signage, and other event equipment Required Reliable transportation to Rancho Bernardo (and occasional La Mesa support) Comfort using basic technology/AV equipment (training provided as needed) What We Offer As a mission-driven nonprofit, we offer more than a job - we offer purpose.
