Job Description

Job Summary We are seeking a highly organized and proactive Procedure Scheduler to join our dynamic pain management team. In this vital role, you will coordinate and manage the scheduling of medical procedures, ensuring seamless communication between patients, providers, and ancillary departments. Your expertise will help optimize clinic workflows, improve patient experience, and support efficient clinical operations. The ideal candidate is detail-oriented, tech-savvy, and passionate about delivering exceptional administrative support within a fast-paced medical environment. Duties Schedule patient appointments for various medical procedures using EMR (Electronic Medical Record) systems such as Epic, Meditech, Athenahealth, eClinicalWorks, or similar platforms. Verify insurance coverage and perform insurance authorization and verification processes to ensure procedural approvals are secured prior to appointments. Coordinate with physicians, specialists, and support staff to confirm procedure dates and prepare necessary documentation. Manage patient records by reviewing documentation for accuracy and completeness while maintaining strict adherence to HIPAA regulations. Communicate effectively with patients via phone and electronic messaging to confirm appointments, provide instructions, and answer inquiries with professionalism and empathy. Utilize multi-line phone systems and demonstrate excellent phone etiquette to handle scheduling requests efficiently. Maintain organized filing systems for medical records, appointment logs, and billing documentation while ensuring data security and confidentiality. Qualifications Proven experience in medical scheduling within clinics or healthcare settings, including familiarity with EMR systems such as Epic, Meditech, Athenahealth, or eClinicalWorks. Strong knowledge of medical terminology, CPT (Current Procedural Terminology) coding, ICD-9/ICD-10 coding standards, and insurance verification processes. Excellent computer skills with proficiency in Microsoft Office Suite (Word, Excel) and health information management software like Eaglesoft or Dentrix preferred. Ability to review medical documentation accurately while maintaining compliance with HIPAA regulations. Exceptional organizational skills with the ability to multitask in a fast-paced environment while maintaining attention to detail. Bilingual abilities are a plus to serve diverse patient populations effectively. Previous clinic or dental office experience is highly desirable; familiarity with dental terminology and office management tools such as Dentrix or Eaglesoft is advantageous. Strong customer service skills combined with professional phone etiquette and effective communication techniques. Experience in handling insurance claims processing, billing support, and appointment coordination is preferred.
