Job Overview We are seeking a dynamic and detail-oriented Surgical Scheduler and Authorization Specialist specializing in Orthopedics to join our dedicated healthcare team. In this vital role, you will coordinate surgical appointments, manage insurance authorizations, and ensure seamless communication between patients, providers, and insurance companies. Your proactive approach will help optimize patient care experiences while maintaining compliance with healthcare regulations. Responsibilities Schedule orthopedic surgeries and procedures efficiently, coordinating with surgeons, primary care providers, surgical facilities, patients, and support staff to confirm dates and times. Obtain prior authorizations from insurance providers by verifying coverage, submitting necessary documentation, and following up to secure approvals promptly. Verify patient insurance benefits through managed care systems, ensuring accurate coverage details for procedures and services. Maintain detailed medical records, including documentation of authorization requests, approvals, denials, and patient correspondence in compliance with HIPAA regulations. Utilize CPT (Current Procedural Terminology) codes, ICD (International Classification of Diseases) codes such as ICD-9 and ICD-10, and other medical coding standards to accurately process claims and documentation. Manage peer-to-peer scheduling Communicate effectively with patients regarding scheduling details, insurance requirements, and necessary preoperative preparations. Collaborate with medical office staff to ensure all documentation is complete, accurate, and compliant with healthcare policies. Requirements Proven experience in medical office administration or scheduling within a healthcare setting; experience in orthopedic office is a plus. Strong knowledge of managed care processes, insurance verification procedures, and medical billing/coding including CPT coding and ICD coding standards. Familiarity with HIPAA regulations to ensure patient confidentiality and data security at all times. Excellent organizational skills with the ability to manage multiple schedules simultaneously while maintaining attention to detail. Proficiency in medical terminology, medical records management, and office software applications. Ability to communicate clearly and professionally with patients, providers, insurance companies, and team members. Prior experience with medical coding systems such as
ICD-9/ICD-10
is highly desirable; dental office experience is considered a bonus.
