In this vital role, you will coordinate and manage patient appointments for various medical and aesthetic procedures, ensuring a smooth and efficient scheduling process. Your proactive communication skills and thorough understanding of medical office operations will help enhance patient experience and clinic productivity. This position offers an exciting opportunity to contribute to a thriving private practice environment dedicated to delivering exceptional patient care. Duties Schedule appointments for medical and aesthetic procedures using EMR (Electronic Medical Records) on Nextech system ensuring accuracy and timeliness. Verify insurance coverage, perform insurance authorization, and conduct insurance verification to facilitate seamless billing processes. Manage patient intake by collecting necessary documentation, reviewing medical histories, and updating electronic health records with precision. Coordinate with medical staff to confirm procedure details, prepare care plans, and ensure proper documentation review in compliance with HIPAA regulations. Handle multi-line phone systems with professionalism, providing excellent patient service while addressing appointment inquiries and rescheduling needs. Maintain organized medical records, files, and documentation in accordance with health information management standards. Assist with billing processes by supporting medical collection efforts and ensuring accurate CPT (Current Procedural Terminology) coding and ICD (International Classification of Diseases) coding for procedures. Support front desk operations including greeting patients, managing appointment confirmations, and maintaining a welcoming office environment. Requirements Proven experience in medical scheduling within a clinical or dental setting; clinic experience preferred. Strong knowledge of EMR/EHR systems such as Nextech, Epic, Mod med, eClinicalWorks Familiarity with medical billing processes including insurance verification, CPT coding, ICD coding (ICD-9/ICD-10), and Medicare guidelines. Excellent computer skills including proficiency in Microsoft Office suite; typing speed of at least 10 key digits per second is desirable. Exceptional organizational skills with the ability to manage multiple schedules efficiently while maintaining attention to detail. Knowledge of HIPAA regulations to ensure patient confidentiality and data security at all times. Strong communication skills coupled with professional phone etiquette and customer service orientation. Ability to work independently as well as collaboratively within a team in a fast-paced environment. 2 years of experience with medical/ aesthetic scheduling and terminology is desired.
