We represent individuals and families in serious personal injury matters, including automobile accidents, catastrophic injuries, and wrongful death cases. As the firm continues to grow, we are heavily focused on building strong systems, improving internal processes, and supporting our teams with the structure and tools they need to succeed. Our operations team plays a critical role in supporting leadership, driving execution, and ensuring the firm operates efficiently across all locations. Position Overview We are seeking a highly organized and proactive Operations Manager to provide direct support to the Director of Operations while also managing day-to-day operational needs, coordinate vendor and office projects, assist with reporting and meeting preparation and help oversee receptionist operations across multiple office locations. This role combines executive support, operational coordination, project management, and team oversight responsibilities. The ideal candidate is someone who enjoys variety, can shift priorities quickly, and thrives in a fast-paced professional environment. This is not a traditional administrative role — the position requires strong follow-through, problem-solving skills, professionalism, and the ability to help move projects and initiatives forward independently. Key Responsibilities Provide direct executive support to the Director of Operations Manage calendars, scheduling, meeting coordination, and follow-up items Prepare meeting materials, reports, summaries, spreadsheets, and presentations Pull and organize operational data from firm systems to assist with reporting and decision-making Assist with meeting preparation, KPI tracking, dashboards, and operational reporting Track projects, deadlines, and action items while ensuring follow-through from stakeholders Coordinate and support operational initiatives, software implementations, and process improvement projects Assist with vendor coordination, office logistics, and operational research projects Support onboarding coordination and operational setup for new hires Help oversee receptionist operations across multiple office locations, including communication, scheduling coordination, accountability follow-up, and operational consistency Travel periodically to South Florida office locations as needed Assist with drafting SOPs, internal documentation, and operational processes Handle sensitive and confidential information with professionalism and discretion Qualifications 3+ years of experience in executive support, operations coordination, project coordination, office management, or a similar role preferred Strong organizational skills with the ability to manage multiple priorities simultaneously Excellent written and verbal communication skills High attention to detail and strong follow-through Strong problem-solving and critical thinking skills Ability to work independently and anticipate operational needs Comfortable working in a fast-paced, changing environment Professional demeanor and ability to handle confidential or sensitive matters Strong proficiency in Microsoft Office, particularly Outlook, Excel, Word, and PowerPoint Comfortable working with spreadsheets, reporting, and operational data Experience coordinating projects, vendors, or multi-office operations is a plus Experience with SharePoint, Salesforce, Litify, or QuickBooks is a plus Law firm or professional services experience is preferred but not required Work Environment and Schedule Full-time, in-person role based primarily in our Boca Raton office Travel to South Florida office locations required as needed Standard schedule is Monday through Friday with occasional flexibility based on operational needs Why This Role Matters This is a high-impact role that directly supports firm leadership and operational execution.
