The ideal candidate will possess strong organizational skills, professional communication abilities, and the capacity to manage multiple responsibilities while maintaining accuracy and attention to detail. Key Responsibilities Manage and respond to business communications in English and Spanish Assist with accounts payable and accounts receivable functions Perform bank and credit card reconciliations Support bookkeeping and financial record maintenance Assist with QuickBooks data entry and transaction management Process and organize invoices, vendor documentation, and payment records Coordinate with vendors, carriers, and service providers Maintain organized electronic and physical filing systems Create, update, and maintain spreadsheets and operational reports Support inventory tracking and operational recordkeeping Assist with order processing and administrative support tasks Monitor assigned projects and ensure timely follow-up and completion Maintain confidentiality of company and financial information Qualifications Fluent in English and Spanish (spoken and written) Minimum 2 years of administrative, accounting, bookkeeping, office management, operations, or related experience Experience with Microsoft Excel, Outlook, and Google Workspace Strong written and verbal communication skills Excellent organizational and time-management abilities Strong attention to detail and accuracy Ability to prioritize multiple tasks in a fast-paced environment Reliable transportation and consistent attendance Preferred Qualifications QuickBooks experience Experience performing bank reconciliations Experience with inventory management and reporting Experience supporting operational or logistics functions Experience in bookkeeping, accounts payable, or administrative accounting functions Desired Characteristics Professional and dependable Self-motivated and proactive Strong problem-solving skills Ability to work independently with minimal supervision High level of integrity and confidentiality Strong follow-up and task completion skills Applicants must complete all screening questions and provide detailed responses regarding their administrative and accounting experience.
