Job Description
Job description The Surgery Scheduler is responsible for coordinating and scheduling surgical and office-based procedures ordered by providers. This role ensures accurate scheduling, insurance verification, and authorization processing while supporting efficient clinic and hospital operations. The Surgery Scheduler collaborates with clinical teams, external providers, insurance carriers, and patients to ensure all procedural requirements are completed prior to scheduled services. This position plays a key role in maintaining a positive patient experience by demonstrating professionalism, compassion, and excellent customer service while ensuring compliance with organizational policies and healthcare regulations.

Essential Functions:
Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. Coordinate and schedule surgical and office-based procedures ordered by providers in a timely and accurate manner. Maintain and manage physician schedules to optimize coordination between hospital and clinic procedures. Verify patient insurance coverage and obtain required prior authorizations for surgical and in-office procedures. Identify and coordinate any specialized equipment, instrumentation, or personnel required for scheduled procedures. Obtain necessary medical clearances and required documentation prior to scheduled procedures. Assist with patient checkout processes and provide scheduling support to the front office team as needed. Communicate effectively with patients, provider offices, hospitals, surgical centers, and insurance carriers to coordinate care. Maintain accurate documentation of scheduling activities, authorizations, and patient communications in the electronic medical record (EMR) system. Provide exceptional customer service to patients, families, colleagues, and external partners. Maintain strict confidentiality of patient information in compliance with HIPAA regulations. Maintain an organized, professional, and clean workspace. Support onboarding and training of new employees as a preceptor when assigned. Perform additional duties as assigned by supervisors or management.Qualifications:
Education:
High school diploma or equivalent required.Experience:
Prior experience in medical scheduling, surgical scheduling, referral coordination, insurance verification, or a healthcare administrative role preferred. Knowledge of medical terminology and insurance authorization processes preferred.Skills and Competencies:
Proficiency in Microsoft Office and healthcare scheduling or EMR systems. Strong verbal and written communication skills. Excellent organizational skills and attention to detail. Ability to manage multiple tasks and priorities in a fast-paced healthcare environment. Strong interpersonal skills with the ability to work collaboratively across departments. Ability to follow established policies, procedures, and office protocols. Professional demeanor with strong customer service orientation.
