Job Description

We are seeking a highly organized, dependable, and proactive Operations & Executive Support Coordinator to support the CEO and assist with day-to-day business operations. This role is ideal for someone who enjoys creating structure, solving problems, improving systems, and helping a growing business operate efficiently behind the scenes. The ideal candidate is comfortable managing multiple priorities, communicating professionally with customers, and learning new technology and AI tools. Responsibilities Manage and organize the CEO's email inbox, calendar, scheduling, and task follow-up Coordinate appointments, bookings, reminders, and operational priorities Assist with customer communication via email, phone, and text Support social media posting, scheduling, and engagement tracking Help organize digital systems, workflows, and AI tools to improve efficiency Maintain accurate records, task tracking, and communication logs Provide operational support with deliveries, pickups, and coverage when needed Assist with administrative and day-to-day business support tasks Qualifications High school diploma or equivalent required Administrative, operations, customer service, or executive support experience preferred Strong organizational, communication, and multitasking skills Comfortable using email, calendars, digital tools, and learning new systems Self-motivated, dependable, and detail-oriented Positive attitude with strong customer service skills Ability to adapt quickly in a fast-paced environment Ideal Candidate Proactive and able to work independently Comfortable learning AI tools and technology Organized and process-oriented Strong problem-solving mindset Flexible and willing to support multiple areas of the business Physical & Schedule Requirements Part-time availability with flexibility based on business needs Ability to assist with deliveries and operational support as needed Opportunity to transition into a full-time role based on performance and business growth About the Role This position is ideal for someone who enjoys supporting growing businesses, improving systems, and helping operations run smoothly in a fast-paced environment.
