Non-Exempt Description Position to start July 1, 2026 This administrative Clinical, Laboratory and Simulation Scheduling Assistant is responsible for the comprehensive coordination of student clinical placements and some simulation experiences and laboratory rotations within the nursing program. This position ensures efficient scheduling, maintains compliance with clinical agency requirements, and monitors student eligibility to participate in clinical, laboratory, and simulation activities. The assistant serves as a key liaison between faculty, students, and clinical partners to support seamless educational experiences. Examples of Duties Clinical Placement Coordination Schedule and coordinate student clinical site placements in collaboration with faculty and clinical agency partners. Maintain up-to-date clinical schedule request with clinical partners and ensure appropriate/requested student-to-site assignments. Communicate placement details, changes, and expectations to students, program coordinators, and faculty in a timely manner. Clinical site relationship support (operational, not contractual) Serve as a point of contact for routine operational communication with clinical sites Track site capacity, preferences, and historical placement data Assist in resolving day-to-day site issues (schedule conflicts, onboarding questions) Simulation and Laboratory Scheduling Coordinate and manage simulation schedules, including high-fidelity simulation sessions and skills labs Schedule student laboratory rotations to ensure equitable time, access, and opportunity to contribute to student success in all nursing courses. Collaborate with simulation staff and faculty to support instructional needs and resource availability. Assist with some setup and breakdown of simulation and laboratory activities, including preparation of equipment, supplies, and learning spaces. Support ongoing management of simulation and laboratory supply inventories, including tracking usage, identifying needs, and communicating supply shortages to appropriate personnel as needed. Student Compliance Monitoring Monitor and track student compliance with clinical facility onboarding and orientation requirements. Oversee student documentation within the clinical placement repository system. Ensure all required records (e.g., immunizations, certifications, background checks, drug screens, and training modules) are current and complete prior to clinical participation. Notify students and faculty of compliance deficiencies and assist in enforcing program deadlines related to non-compliance. Data Management and Reporting Maintain accurate records of clinical placements, schedules, and student compliance. Generate reports related to clinical utilization, student eligibility, and compliance status for students, faculty, and program coordinators. Assist with accreditation and regulatory documentation as needed. Collaboration and Communication Serve as a liaison between students, faculty, simulation staff, program coordinators, and clinical agencies. Support program coordinators in aligning student numbers with site availability Provide guidance to students regarding clinical requirements and scheduling processes. Support program operations through effective and professional communication and problem-solving.OTHER DUTIES
Participate in Program, Division, and College meetings as schedule allows. Attend and participate in nursing program (faculty, student-faculty, program advisory board), committees and educational sessions; work collaboratively with colleagues, healthcare facilities, advisory committees, and other educational partners. Have the ability to be flexible in scheduling work hours including coverage demands due to training periods and academic schedules is required. Qualifications High school diploma or GED Required AA/AS degree in field or acceptable degree based on accreditation standards preferred; or must be willing to pursue and complete AA/AS degree in discipline, education or related field within 3years of hire date. Willing to complete continuing education in appropriately related field if requested. Current BCLS (Basic Cardiac Life Support for the Healthcare Provider) - current Current immunizations as required by the Nursing Programs.
