We're two family-owned manufacturing companies — Sensor Systems LLC (65+ years) and Motor Magnetics Inc (25+ years) — with a combined team of 135 employees in St. Petersburg, FL. We're in the middle of building out our HR department the right way, and we need an in-office People Operations Coordinator to be the HR presence our team counts on every day. You won't be doing this alone. You'll work directly alongside an experienced HR consultant, a dedicated benefits broker, a Paychex PEO team, a labor attorney, and an accessible C-suite. Schedule:
Full-time, Monday-Friday Start:
As soon as the right person is ready What You'll Do Payroll & Timekeeping Coordinate payroll processing through Paychex PEO Review and process timecard adjustments; maintain timekeeping records Track and administer PTO balances and requests Ensure payroll data accuracy and timely submission Onboarding & Offboarding Manage the full new hire process — offer letters, drug testing, I-9s, onboarding paperwork, and first-day setup Prepare new hire packets tailored by state and position type Trigger benefits enrollment at the correct point in the onboarding sequence Coordinate offboarding, status changes, and COBRA handoff to our administrator HR Records & Compliance Maintain accurate, confidential personnel files across physical, network, and Paychex digital records Distribute required state-specific new hire notices (FL, CA, NY, CO) and track signed acknowledgments Support workers' compensation and unemployment administration Keep Paychex employee data clean: title, department, PTO policy, manager, and org assignment Benefits Administration Track benefits eligibility windows by employee group and coordinate enrollment with our benefits broker Serve as the internal point of contact for employee benefits questions Support open enrollment and ensure payroll deductions are set up accurately in Paychex Employee Support Be the person employees come to — payroll questions, PTO, HR forms, and general requests Support managers (including our General Manager) with administrative HR needs and performance review prep Escalate employee relations or compliance matters to the appropriate resource Who You'll Work With HR Consultant — sets direction, you execute CAO — your direct manager; HR strategy and final decisions General Manager — partner on performance reviews, job descriptions, and manager support Benefits Broker — handles enrollment and carrier relationships Paychex PEO Rep — HRIS system support Labor Attorney — available for compliance and employment law questions COBRA Administrator — termination handoff
What We're Looking For Required:
3-5 years in HR or people operations Strong attention to detail and follow-through Comfortable in systems — Paychex, Acrobat, HRIS, DocuSign, Microsoft Office Discreet with confidential information Clear communicator at all levels of an organization Self-starter who takes direction and runs with it Nice to
Have:
