ABOUT EVERGREEN PRIVATE CARE
Evergreen Private Care (EPC) is a licensed home health agency dedicated to delivering compassionate, high-quality care to clients in their homes. Our Scheduling team is the operational backbone of everything we do—keeping caregivers connected to the clients who need them and ensuring families experience seamless, reliable service every day.
THE ROLE
We are looking for a detail-oriented, people-first Scheduling Coordinator to join our team. In this role, you will be the hub of daily caregiving operations—managing caregiver assignments, solving coverage challenges in real time, and serving as a key point of contact for clients, families, and staff. You will also assist with onboarding new caregivers and support leadership by providing attendance, reliability, and scheduling performance feedback. This position manages a high volume of scheduling activity and requires frequent problem-solving, phone communication, and rapid response to staffing changes. Successful candidates enjoy staying organized, making decisions, and helping people in a constantly changing environment.
WHAT YOU'LL DO
Oversee daily caregiver scheduling to ensure all client visits are covered by appropriately credentialed staff Make and receive calls to confirm assignments, address scheduling changes, and provide exceptional customer service Verify caregiver arrivals, escalate coverage issues promptly, and monitor staff availability throughout the day Assist with orienting new direct care staff and communicating agency policies and procedures Maintain accurate scheduling records, intake documentation, tracking forms, and timesheets Manage and update caregiver scheduling data in the agency's software systems Serve as a professional liaison for clients, their representatives, and other agency departments Provide scheduling and attendance feedback to leadership as requested Analyze department workflows and recommend process improvements
WHAT SUCCESS LOOKS LIKE
Client shifts remain consistently staffed Scheduling changes are addressed promptly and professionally Caregiver attendance and documentation are accurately tracked Clients, families, and caregivers receive timely communication Team members work collaboratively to solve coverage challenges
WHAT YOU BRING
High school diploma or equivalent required Minimum 3 years of scheduling, staffing, customer service, healthcare administration, or related experience required Home care, home health, healthcare staffing, or medical office experience preferred Demonstrated ability to direct and coordinate the work of others Exceptional phone manner, communication skills, and active listening ability Strong sense of urgency and follow-through Ability to communicate confidently by phone and text Comfort making independent decisions within established guidelines Excellent organizational and time-management skills Proficiency with computer applications and ability to learn scheduling software quickly Team-oriented mindset with a flexible, solutions-focused attitude Ability to maintain professionalism and composure in a fast-paced, high-demand environment Dependable, resourceful, and proactive approach to problem-solving
SCHEDULE
Typical schedule is Monday-Friday, 8:00 a.m.-5:00 p.m., with occasional flexibility needed to address urgent staffing needs.
