Operations Coordinator Vero Beach, FL Job Details Full-time From $23 an hour 4 days ago Benefits Profit sharing Mileage reimbursement Paid holidays Health insurance Paid time off Employee discount Qualifications Teamwork Inventory management Forklift Customer inquiry handling Schedule management Attention to detail Document management Full Job Description Surfaces Design Studio is a boutique, appointment-only studio seeking a highly organized, detail-driven Operations Coordinator to support daily operations across our studio, warehouse, and field teams. This is a hands-on role for someone who thrives in a fast-paced environment and enjoys keeping projects, people, and materials moving efficiently. Key Responsibilities Operations & Communication Manage and respond to emails in a timely, professional manner Answer phones and assist with general inquiries Maintain and update project management systems Coordinate with field operations on active jobs, schedules, and job progress Communicate with contractors, superintendents, and clients as needed Scheduling & Project Support Assist in maintaining schedules Review and create field change orders Update job files, field folders, and subcontractor documentation Support weekly team meetings (agenda prep, note-taking, follow-ups) Receiving & Warehouse Coordination Print and process purchase orders (POs), change orders (COs), and material labels Coordinate with warehouse team on incoming materials and job allocations Assist with receiving, checking in, and organizing materials Help manage inventory documentation and job closeouts Support client and builder pickups Systems & Administrative Maintain internal systems (job tracking, Fidbox setup, Floor Protector updates) Scan, file, and organize project documentation Assist with sample tracking and photography as needed Facility & General Support Assist in both showroom and warehouse as needed Coordinate basic maintenance (vehicles, forklift, building systems) Help maintain a clean, organized workspace Secure building and set alarm at end of day Qualifications Strong organization and attention to detail Excellent communication and follow-through Ability to multitask in a fast-paced environment Comfortable working between office and warehouse Must be able to operate a forklift Must be able to lift 50 lbs Proactive, team-oriented mindset Tech-comfortable (email, basic systems, data entry) Why Surfaces At Surfaces, we are more than a materials showroom—we are a trusted partner to architects, designers, builders, and homeowners.
