You'll join a small, collaborative team within a larger firm, working alongside experienced and passionate professionals. Role Summary The Operations Associate is an internal support role focused on keeping our team running efficiently. This position works closely with our Client Relations and Client Operations team members to handle scheduling, document management, CRM maintenance, reporting, and other operational tasks. This is a detail-oriented, execution-focused role with limited client interaction — ideal for someone who takes pride in accuracy, follows through consistently, and thrives in a structured environment. Responsibilities Scheduling & Coordination Manage calendars and schedule internal and client-facing meetings on behalf of the team Send scheduling communications and confirmation emails to clients Coordinate logistics for team meetings and appointments Document Management Save, organize, and maintain documents in SharePoint and other platforms Confirm receipt of client documents and route to appropriate team members Ensure filing systems remain accurate and up to date CRM & Reporting Maintain accurate records, notes, and task tracking in Redtail CRM Run standard reports as requested by team members Assist in keeping client data and contact information current General Operations Support Support the Client Relations and Operations team with day-to-day operational needs Identify and flag workflow gaps or task bottlenecks Assist in documenting and improving internal processes over time Handle a variety of administrative tasks as business needs evolve Qualifications The ideal candidate will have: Exceptional attention to detail and commitment to accuracy Strong organizational skills and ability to manage multiple tasks simultaneously Professional written communication skills Ability to handle sensitive client information with discretion and confidentiality Positive, team-oriented attitude and a willingness to take direction Proficiency with Microsoft Office Suite (Word, Excel, Outlook, Teams) Experience in an office is a plus but not required Platforms Used Microsoft Suite (Outlook, Word, Excel) SharePoint / OneNote Redtail CRM Zoom If you are a dependable, detail-oriented professional who enjoys supporting a high-performing team, we'd love to hear from you.
