Job Description

VibroXpress is seeking a highly organized, proactive, IT savvy Talent, Scheduling & Performance Coordinator to support a workforce of 100+ employees. This role is responsible for hiring, workforce scheduling, employee performance management, and employee administration. The ideal candidate is highly organized, responsive, comfortable working with data, and capable of managing multiple priorities in a fast-paced environment. Key Responsibilities Hiring & Talent Acquisition Meet weekly hiring targets. Source and recruit candidates using Indeed and other recruiting platforms. Own interviewing and onboarding activities. Maintain candidate trackers in various statuses Own workforce planning and drive strategic talent upliftment through scorecard-based performance management (Retaining top performers, Developing solid performers into high performers through coaching, and decisively addressing persistent low performance). Build a team of higher performers. Design, implement, and enforce a structured performance management framework with clear accountability standards, documented coaching, progressive corrective action, and consistent consequences to drive continuous improvement and maintain a high-performing workforce. Conduct Employee orientations. Scheduling & Workforce Planning Accountable for workforce scheduling. Create and maintain schedules for a 100+ employee workforce. Advance publishing schedules and constantly keeping them in sync in ADP and website. Conduct rolling 4-week schedule reviews with the team twice a week. Continuous daily recalibration of schedule based on employee performance, time off and swap requests to ensure planned operational coverage is met. Maintain staffing coverage and workforce planning forecasts Communicate schedule updates and staffing changes to employees and leadership. Maintain responsiveness through GroupMe, email, and other communication channels Respond promptly to employees scheduling inquiries and requests Conduct employee Time card validation on a daily basis Performance Management Track attendance, tardiness, safety incidents, accidents, route efficiency, productivity, and employee performance Maintain coaching, disciplinary, and performance records Conduct performance coaching through Zoom, email, written performance reviews, and one-on-one meetings Create and maintain employee scorecards and coaching documentation Support employee recognition, coaching, and accountability initiatives Monitor performance trends and recommend improvement actions Prepare performance reports and summaries for leadership HR, Compliance & Administrative Support Utilize ADP, Excel, Website for employee administration and workforce management Support employee incidents and related documentation Support Employee notices, WC claims and return-to-work activities Maintain employee files and records Assist with compliance, unemployment claims, employment verifications, and other administrative activities Coordinate employee communications and follow-up activities Required Skills & Experience Advanced Excel Skills , MS powerpoint, Presentation skills, ADP Experience, Pro-active and Execution focussed, Quick learner This role is highly data-driven. Strong Excel skills are required and will be heavily utilized. Applicants should be proficient in Pivot Tables,VLOOKUP/XLOOKUP, data analysis, working with large spreadsheets and data sets, data analysis, creating reports and dashboards.
