Job Description

Job Overview 3DI Rentals is a growing equipment rental business backed by a national construction company with 20+ years of operation. We're hiring an Operations Coordinator to own the data, scheduling, and administrative backbone of our rental shop. You'll keep our fleet records accurate, schedule and assign equipment across active and upcoming jobs, administer the fleet, support inbound and outbound logistics, and partner with vendors on equipment and parts. The result is dependable fleet visibility and reliable reporting for our operations and project teams. This is a hands-on, detail-driven role for someone who likes bringing order to fast-moving operations. Duties
  • Data Management & Reporting
  • Maintain accurate fleet status, location, and specs in our ERP system; enforce clean, consistent data-entry standards
  • Update work orders, service history, and inspection records to support utilization and readiness reporting
  • Generate on-demand and recurring reports for leadership and project teams (availability, utilization, maintenance due, downtime, location)
  • Oversee equipment tracking systems and reconcile data across platforms
  • Resource Management & Equipment Scheduling
  • Maintain visibility into equipment availability and commitments by job, current and future
  • Schedule and assign equipment across jobs; track requests and changes (adds, swaps, off-rent dates)
  • Identify and communicate schedule conflicts, constraints, and upcoming needs to stakeholders
  • Balance utilization against demand to keep the right equipment available at the right time
  • Fleet Administration
  • Create and maintain In/Out work orders and documentation for consistent check-out/check-in
  • Administer maintenance and repair workflow for in-shop and jobsite equipment in coordination with mechanics
  • Track preventive maintenance schedules and service dates; flag upcoming and overdue items
  • Support warranty tracking and claim documentation with vendors and OEMs
  • Logistics Support
  • Coordinate equipment transportation with freight vendors (pickup/drop, timing, special handling) for inbound and outbound shipments
  • Coordinate incoming and outgoing equipment shipments with the shop, including receiving, staging, and dispatch
  • Track shipments to completion and communicate status to internal stakeholders
  • Vendor Procurement
  • Source and coordinate equipment and parts with vendors and OEMs; obtain quotes and track orders (lead times, backorders, alternatives)
  • Maintain vendor records and serve as a point of contact for equipment, parts, and service suppliers Qualifications
  • Strong data-entry accuracy and comfort working in ERP or inventory/fleet management systems
  • Experience coordinating schedules, logistics, or dispatch in a fast-paced operations environment
  • Solid organizational skills and attention to detail; able to juggle multiple priorities
  • Clear communicator who can keep field teams, vendors, and leadership in the loop
  • Proficiency with Microsoft Office / Excel
  • Reliable, self-directed, and comfortable in a shop/operations setting ## Nice to Have
  • Warehouse and inventory experience (this role coordinates incoming and outgoing equipment shipments and inventory)
  • Purchasing or procurement background
  • Familiarity with construction or rental equipment
  • Experience with Viewpoint Vista or a similar construction ERP, and fleet/telematics tracking systems
