Job Overview The Scheduling Coordinator is responsible for coordinating staffing schedules, supporting recruitment activities, maintaining staffing coverage, and assisting with workforce communication and engagement. This position plays a critical role in ensuring participants receive uninterrupted services by proactively managing staffing needs and responding quickly to schedule changes. The Scheduling Coordinator must be highly organized, adaptable, and able to thrive in a fast-paced environment where priorities and staffing needs may change frequently. This position works closely with leadership and direct support staff to ensure staffing needs are met while maintaining positive employee relationships and supporting operational effectiveness.
PERFORMANCE RESPONSIBILITIES AND STANDARDS
Scheduling and Staffing Create, maintain, and adjust employee schedules to ensure adequate staffing coverage and participant support. Monitor staffing levels and proactively address open shifts, call-outs, and scheduling conflicts. Coordinate staffing coverage for vacations, leaves of absence, training, and unexpected absences. Communicate scheduling changes promptly and professionally with employees and leadership. Maintain accurate scheduling records and staffing data. Assist leadership in monitoring staffing trends and identifying coverage needs. Recruitment and Onboarding Support Support onboarding activities and coordination of new employee orientation schedules. Maintain communication with applicants throughout the hiring process. Assist with workforce development and employee retention initiatives. Employee Support and Communication Provide ongoing communication and support to employees regarding schedules, staffing needs, and operational updates. Develop positive working relationships with staff and leadership. Respond to employee questions and concerns in a timely and professional manner. Assist with employee engagement initiatives and staff support efforts. Administrative Support Maintain accurate staffing reports, scheduling records, and related documentation. Utilize scheduling, payroll, HRIS, and training platforms as assigned. Assist with data entry and maintenance of employee information. Support office operations and administrative projects as requested. Assist leadership with special projects and operational initiatives. General Responsibilities Maintain confidentiality of employee and organizational information. Demonstrate professionalism, flexibility, and a positive attitude. Adapt effectively to changing priorities and staffing demands. Perform additional duties as assigned.
QUALIFICATIONS
Must be at least eighteen (18) years of age. High school diploma or GED required. Previous scheduling, staffing, administrative, customer service, or human resources experience preferred. Excellent organizational and time management skills. Strong interpersonal and relationship-building abilities. Excellent verbal and written communication skills. Ability to multitask and manage competing priorities effectively. Strong attention to detail and problem-solving skills. Ability to remain calm and professional in high-demand situations. Proficiency with Microsoft Office, Adobe, Google Suite and scheduling software systems. Ability to learn and adapt to new systems and technology.
LICENSING REQUIREMENTS
Successfully complete criminal history and background checks in accordance with agency policy and applicable Idaho requirements. Valid driver's license and acceptable driving record if travel is required.
ONGOING ELIGIBILITY QUALIFICATIONS
Maintain compliance with agency policies and training requirements. Successfully complete background rechecks as required. Demonstrate reliability, professionalism, and strong attendance.
PHYSICAL REQUIREMENTS
Prolonged periods of sitting and working on a computer. Ability to review financial records and documentation with attention to detail. Ability to occasionally lift up to fifteen (15) pounds
