We are seeking a compassionate, highly organized, emotionally intelligent Client Care & Scheduling Coordinator to join our growing team. This is much more than a scheduling role — it is a relationship-centered position that serves as a key support system for both caregivers, clients, and their families. The ideal candidate is calm under pressure, highly professional, service-minded, and able to bring reassurance and solutions during fast-moving or stressful situations. We are looking for someone who genuinely enjoys helping people, building trust, creating positive experiences, and supporting others through excellent communication and follow-through. This is an in-office position based in Geneva, IL. Candidates should live within a reasonable commuting distance of the Tri-Cities/Kane County area. Previous home care, senior care, healthcare coordination, caregiving, or healthcare customer-service experience is strongly preferred. Does this sound like you? "Does this sound like you? Key Responsibilities Coordinate and manage caregiver schedules with a strong focus on client satisfaction, caregiver compatibility, consistency of care, and operational efficiency Serve as a supportive and responsive point of contact for caregivers, clients, and families through ongoing communication and relationship-building Respond to schedule changes, call-offs, urgent coverage needs, and unexpected situations with professionalism, urgency, compassion, and calm problem-solving Help ensure both caregivers and clients feel supported, heard, valued, and cared for throughout their experience with Amada Communicate new assignments, schedule updates, care information, and service changes clearly and professionally Assist with client intake follow-up calls and help guide prospective clients and families through the onboarding process Collaborate closely with recruiting, leadership, and care coordination teams to support staffing needs and high-quality care experiences Support caregiver engagement, appreciation, and retention efforts including recognition initiatives, celebrations, birthdays, and office culture activities Help identify and proactively address scheduling challenges, coverage gaps, caregiver concerns, and client service issues before they escalate Maintain accurate scheduling and communication documentation within office software systems including Axis Care Participate in rotating evening and weekend on-call support as needed Occasionally assist with caregiver interviews, onboarding support, and other office coordination responsibilities Work efficiently in a fast-paced environment while managing multiple priorities with strong attention to detail, organization, and follow-through Uphold "The Amada Way" by delivering exceptional customer service, demonstrating empathy and accountability, and consistently going the extra mile for both clients and caregivers Successful applicants should meet these requirements: Remain calm, professional, and solutions-focused under pressure Convey warmth, trust, empathy, and professionalism with both caregivers, clients and their families Be comfortable learning and utilizing scheduling and office software systems including Axis Care Have previous experience in home care scheduling, caregiver scheduling, healthcare scheduling, senior care coordination, caregiving, client services, or healthcare customer service strongly preferred Typical office hours are Monday-Friday daytime hours with participation in a rotating evening/weekend on-call schedule Have previous experience with Axis Care or similar home care scheduling software preferred Be reliable, responsive, and demonstrate strong follow-through and accountability Valid Driver's License required
