Job Description Position:
Office & Ministry Operations Coordinator Reports To:
Senior Pastor Status:
Part-Time, Non-Exempt (30 hours/week)
Work Schedule:
Approximately 9:30 AM - 3:30 PM, Monday-Friday (includes paid 30-minute lunch)

Vacation, sick leave, holidays, and statutory leave as defined in the Personnel Handbook Position Summary The Office & Ministry Operations Coordinator is the central administrative presence of Prince of Peace Lutheran Church, ensuring the smooth daily operation of the church office, accurate record-keeping, support of worship and ministry activities, coordination of facilities and vendors, and assistance with financial and payroll processes. This role serves as the primary welcome point for members, visitors, staff, and ministry leaders and plays a key role in translating the church's mission into effective daily operations. Qualifications
  • High School diploma required; additional office or administrative experience preferred
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint)
  • Experience with church management software a plus
  • Familiarity with Canva, Zoom, and Google Suite
  • Light bookkeeping and payroll processing familiarity (Paychex, online payment systems)
  • Strong organizational, interpersonal, and confidentiality skills
  • Ability to manage multiple deadlines and shifting priorities
  • Ability to lift 3-35 pounds occasionally
  • Support for the mission and values of Prince of Peace Lutheran Church Core Responsibilities & Performance Expectations Administrative & Office Coordination
  • Serve as primary office presence and welcome point
  • Answer phones, emails, and in-person inquiries
  • Order and maintain office supplies and equipment service
  • Manage incoming and outgoing mail and church communications
  • Maintain paper and electronic filing systems and archives
  • Maintain building key control and office security practices
  • Gift card distribution and tracking Communication & Worship Support
  • Prepare and distribute weekly worship bulletins and materials
  • Maintain master church calendar (website and in-building)
  • Coordinate floral orders (weekly and seasonal)
  • Support communication needs of staff and ministry leaders (via Constant Contact) Record-keeping & Reporting
  • Maintain records for attendance, membership, baptisms, weddings, funerals, etc.
  • Complete and submit the annual ELCA report (with input from appropriate persons)
  • Maintain personnel and church document archives in compliance with policy
  • Update and maintain records in church management software
  • Financial data entry Facilities & Vendor Coordination
  • Schedule use of church facilities for worship, events, and community groups
  • Schedule required annual inspections and maintenance (elevator, fire systems, boilers, etc.)
  • Coordinate service and repair of office and building equipment Financial & Payroll Support
  • Process bi-weekly payroll through Paychex (approx.. 20 employees)
  • Process invoices and payment requests Staff & Ministry Support
  • Attend staff meetings as requested
  • Provide administrative assistance to staff, boards, and committees
  • Assist with mailings and special projects
  • Participate in required safety, mandated reporter, and harassment prevention training Core Competencies

Work Environment Primarily office-based within a church setting with regular interaction with staff, members, visitors, and vendors. Performance Review This position participates in the annual performance review process as defined in the Personnel Handbook, with goals aligned to these responsibility areas.
Pay:
$22.00 - $26.00 per hour
