Specialty Clinic Scheduler
PART-TIME DEPARTMENT

JOB RELATIONSHIPS
Reports:
Responsible to: Outpatient / PACU manager Responsible for: Does not supervise other employees
Interrelationships:
Works cooperatively with all clinic and hospital departments and medical staff, patient, visitors and third-party payers.
JOB SUMMARY
The primary role is to manage the clinic scheduling, acting as the point of contact for clinics, physicians, patients and callers. Responsibilities include answering and directing phone calls, scheduling appointments, x-rays and labs. Working cooperatively with other departments. The role may include administrative tasks such as registration, patient billing, assisting with prior authorizations, managing correspondence and assisting with basic office duties.
JOB QUALIFICATIONS
Experience:
Previous experience in a health care facility, such as admitting and patient billing, preferred. Customer service experience, required.
Education:
High School Diploma or equivalent Specialized training in business office functions preferred.
KEY COMPETENCIES
Strong communication skills (written and verbal). Excellent customer service skills. Strong organizational skills, attention to details, time management and prioritizing. Empathy and a patient-focused approach to situations. Ability to work under pressure and meet deadlines while maintaining accuracy. Basic clerical experience, including typing, and general computer experience. Proficiency in MS Office, Google and electronic health record (EHR) system. JOB RESPONSIBILITIES
Performs office duties including answering the phone, completing patient registrations and answering questions.
Phone duties include:
scheduling appointments and referrals, transferring calls or taking messages. Record keeping will consist of maintaining patient records as appropriate for each specialty clinic and RCH, completing updates and ensuring confidentiality. Verifies patient demographic and insurance information, collects all necessary paperwork and enters into (EHR). Greets patients and their families, answers questions and provides information about the facility and procedures. Assists with department documentation, including organization and filing. Assures compliance with established policies and procedures, objectives, continuous quality improvement, safety, environmental and infection control standards. Cooperates with other hospital personnel to maintain good employee relations and meet all department objectives. Communicates clearly and accurately with patients, families, physicians and co-workers. Maintains a safe, comfortable and therapeutic environment for patients/families in accordance with hospital standards. Enhances professional growth and development through participation in educational programs, in-services, meetings, etc. Attends and represents department at appropriate meetings, as requested. of all information. Assures that the patient/resident's rights to fair and equitable treatment, self-determination individuality, privacy, property, civil rights, including the right to wage complaints, are well established and maintained at all times. WORKING CONDITIONS
Occasionally exposed to the risk of blood borne diseases. Contact with patients under a wide variety of circumstances. Occasionally exposed to unpleasant elements (accidents, injuries and illness) Subject to varying and unpredictable situations.
