Job Overview We are seeking a dynamic and highly organized Scheduling Coordinator to join our team! In this vital role, you will be the heartbeat of our office operations, ensuring that appointments, meetings, and resources are seamlessly coordinated to keep everything running smoothly. Duties Manage and coordinate appointment schedules for multiple departments or professionals using calendar management tools and software. Answer multi-line phone systems with professionalism, providing excellent customer support and support for internal teams. Maintain accurate records through data entry, filing, and proofreading to ensure all scheduling information is up-to-date and error-free. Assist with front desk responsibilities, including greeting visitors, managing check-ins, and providing courteous phone etiquette. Utilize office management software such as Microsoft Office, Google Workspace, and QuickBooks for scheduling, documentation, and basic bookkeeping tasks. Support office operations by handling clerical duties like filing, photocopying, and organizing documents efficiently. Provide bilingual support when needed to assist diverse clients or team members effectively. Coordinate with team members to ensure timely follow-up on appointments or rescheduling needs while managing calendar conflicts proactively. Experience Prior office experience in a busy administrative or receptionist role is highly preferred. Demonstrated proficiency with computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools. Experience with multi-line phone systems and phone etiquette is essential for managing high call volumes professionally. Previous clerical experience involving data entry, filing, proofreading, and customer service is valuable. Familiarity with office management tasks such as calendar management, appointment scheduling, and basic bookkeeping using QuickBooks or similar software is a plus. Bilingual skills are advantageous for supporting diverse clients or team members effectively. Strong organizational skills combined with excellent time management abilities will enable you to prioritize tasks efficiently in a fast-paced environment.
