Client & Operations Coordinator Arran P Landscaping About Us Arran P Landscaping is a growing landscaping company serving residential and commercial properties throughout the Outer Cape. We take pride in providing high-quality work while maintaining a friendly, professional experience for our customers. As our company continues to grow, we're looking for someone who can help bridge the gap between our customers, crews, and management team. This role is ideal for someone who enjoys working with people, staying organized, solving problems, and helping projects run smoothly from start to finish. The Role The primary purpose of this position is to ensure that our customers feel heard, cared for, and informed throughout the entire process while helping keep our crews organized and on track. You will act as the main point of communication between customers, field crews, and ownership. Your goal is to make sure customers receive the service they expect while helping eliminate communication bottlenecks and keeping projects moving forward. Responsibilities Customer Communication Communicate with customers by phone, email, and in person. Listen carefully to customer requests and concerns. Visit properties and document customer needs through notes and photos. Translate customer requests into clear work orders and instructions for field crews. Manage customer expectations and maintain professional communication throughout projects. Ensure customers feel valued and cared for at every stage of the process. Project & Crew Coordination Communicate directly with field crews regarding project requirements and expectations. Provide clear instructions and project details. Gather feedback and recommendations from crew members. Ensure crews maintain organized work slips, notes, photos, and project documentation. Help maintain quality control and consistency across all projects. Communicate important updates or concerns to ownership promptly. Customer Follow-Up Follow up with customers after project completion. Confirm customer satisfaction before invoices are sent. Quickly identify and communicate any issues that require attention. Coordinate corrective work when necessary. Organization & Administration Maintain organized customer records and project information. Keep accurate notes, photos, and communication logs. Ensure project information is properly documented and accessible. Help improve systems and processes as the company grows. Qualifications Required Self driven individual who takes pride and ownership of their work Excellent communication and interpersonal skills. Knowledge of landscaping, plants, horticulture, and seasonal property maintenance. Strong organizational skills and attention to detail. Positive attitude and professional appearance. Ability to remain calm, patient, and professional under pressure. Ability to handle difficult situations without losing composure. Reliable transportation and valid driver's license. Comfortable learning new software and systems. Preferred but Not Required Experience in customer service, project coordination, property management, landscaping, construction, or related fields. Supervisory or management experience. Schedule Typical hours are Monday through Friday, 8:00 AM - 4:00 PM. No expectation to answer calls, texts, or emails outside of scheduled working hours. Site visits throughout the Outer Cape will be required. Growth Opportunity This role will initially work closely with ownership regarding scheduling, project planning, and decision-making. As experience and knowledge grow, the successful candidate will be given increased responsibility and autonomy.
