Gain industry knowledge and develop new skills to add to your professional experience Reporting Structure This position reports directly to the Operations Department. Primary Responsibilities
- Equipment Tracking
- Daily tracking of equipment in inventory software to prevent asset loss and maintain billing accuracy
- Assist in project-specific equipment transactions and preparing paperwork for field staff
- Operational Coordination
- Act as a liaison between project managers, field staff and administrative staff
- Coordinate project paperwork with supporting documentation to ensure accuracy and completeness for field and shop staff
- Verify field staff's paperwork accuracy to support inventory tracking and client billing Vehicle Maintenance & Tracking
- Schedule fleet maintenance with LRT approved mechanics
- Maintain fleet maintenance spreadsheet
- Update fleet driving and fueling records on Motive website; provide quarterly and annual reports for tax purposes Office Expectations
- Handle professional correspondence (phone, email and in person)
- Data entry, printing, filing, and general operations administrative support
- Run shop errands and perform jobsite deliveries as needed
- Schedule hotel rooms for field staff during out-of-state work
- Exhibit excellent time management skills
- Willingness and ability to learn Qualifications & Requirements
- Software Experience
- 2+ years of Microsoft Office Suite with intermediate Microsoft Excel experience preferred
- Experience with equipment tracking and management software is a strong plus Education High school diploma or GED Compliance & Physical Requirements
- Ability to pass a criminal background check and drug screening in accordance with the Massachusetts Fair Chance Act
- Ability to manage office materials and small equipment, with occasional lifting of up to 50 lbs
