The Opportunity:
We are seeking a highly organized, proactive, and resourceful Operations & Office Coordinator to support both our Investment Sales and Property Management divisions. This is a part-time role (3 days per week) with a clear path to full-time for the right candidate. This is a fully in-person role based out of our Bethesda, MD office. You will work closely with the Director of Operations to streamline operations, support internal initiatives, and ensure the office and team are set up to perform at a high level. This is an ideal role for someone who enjoys being in the middle of everything, solving problems, improving processes, and creating structure in a fast-paced environment. This role reports directly to the Director of Operations and works closely with team members across both divisions.
What You Will Be Responsible For:
Operational Support
  • Support the day-to-day execution of operational processes
  • Assist in maintaining documentation to ensure consistency and efficiency
  • Conduct basic research on tools or vendors, including gathering pricing, comparing features, and summarizing findings
  • Assist with tracking performance/productivity data
  • Assist with system/tool administration Human Resource Support
  • Support onboarding by coordinating documents, scheduling, and ensuring new hires have what they need to get started
  • Assist with recruiting efforts, including candidate communication and interview scheduling
  • Help maintain organization of onboarding materials and employee records
  • Assist with maintaining accurate employee records across HR and payroll systems
  • Assist with benefits administration, including supporting open enrollment, employee inquiries, and carrier coordination
  • Support compliance tracking across multi-state employment requirements, including leave policies and jurisdictional obligations Accounting Support
  • Assist with day-to-day financial and accounting related tasks to support the Director of Operations
  • Reconcile invoices and track expenses to ensure accuracy and proper allocation
  • Prepare and send invoices, and support follow-up on outstanding items as needed
  • Coordinate with internal team members and external partners to ensure timely and accurate processing and reporting Administrative Support
  • Provide direct administrative and project support to the Director of Operations
  • Serve as a first point of contact for agents and staff for day-to-day operational questions and support
  • Help maintain a well-organized, fully functioning office environment, including supplies, shared spaces, and general office logistics
  • Coordinate logistics for trainings ensuring materials and spaces are prepared in advance

  • 2-4 years of experience in human resources, administrative support, office management, or a similar role
  • Experience supporting a team or leadership in a fast-paced environment
  • Strong organizational and time management skills with the ability to prioritize effectively
  • Proficiency in Microsoft Office (Excel, Word, Outlook) and comfort learning new systems and tools
  • Strong attention to detail and ability to follow through on tasks independently
  • Excellent communication skills, both written and verbal
  • Experience with basic accounting or human resources is a plus This role is designed to evolve.
