Non-exempt (compensatory and/or overtime eligible); full-time; 40 hours per week; Monday - Friday; 8:00 a.m. - 4:30 p.m.; full-benefits This civilian clerical role provides administrative and data entry support to the Patrol Operations Division. The position plays a critical role in ensuring the smooth daily functioning of patrol operations by managing schedules, preparing official correspondence and reports, maintaining sensitive records, coordinating court-related processes, and serving as a primary point of contact for internal staff, outside agencies, and the public. The role requires strong organizational skills, accuracy in data entry and documentation, and the ability to handle confidential information while supporting a wide range of operational, logistical, and administrative tasks essential to the mission of the Sheriff's Office. Supervision is received from the Patrol Operations Commander.

Provide administrative support to Patrol Operations, including scheduling, special event coordination, selective enforcement and patrol logs, detention records, speedometer certifications, and MDT updates Serve as receptionist and answers/directs phone inquiries Prepare correspondence, memorandums, endorsements, statistical reports, meeting minutes, and grant documentation; with the annual report and CALEA-related reporting Maintain manual and digital filing systems for the following: Patrol Team inventory and team notebooks Oversee the copiers/printers, office supplies, and the after-hours supply cabinet Support Traffic Unit by updating tow logs, vehicle storage reports, abandoned vehicle tracking, impound lot oversight, act as liaison with tow companies Coordinate court liaison responsibilities such as court date assignments, continuance submissions, subpoena distribution, and communication with the State's Attorney's Office and court Assist Patrol Management with operational program management, policy updates, patrol operations annual report, budget preparation to include researching on equipment, training, and technology needs Maintain the Everbridge System and Mobile Field Force contact information; oversee the agency Ride-Along program As needed, review juvenile referrals for diversion eligibility Acts as liaison with outside agencies and support extra duty assignments and other daily operational tasks Attend meetings and prepare meeting minutes when designated Prepare and maintain statistical data and reports Perform general office support duties (e.g. photocopy, collating, filing, processing daily mail, etc.) Utilize electronic files and databases, retrieve information to compose and prepare correspondence, memorandums, reports and other written work Serve as back-up for other administrative support/clerical staff as needed Perform data entry and scanning of documents; maintain organized filing of documents Perform other assigned duties as needed To perform this job successfully, an employee must be able to perform all essential functions satisfactorily. High school graduation or the equivalency Minimum 1 year of administrative support work experience KNOWLEDGE, SKILLS AND ABILITIES
Strong clerical and record-keeping skills, including the ability to accurately perform basic math and financial functions Ability to accurately compile and prepare statistical data and reports Ability to effectively access and utilize Microsoft 365, e-mail, spreadsheet and other systems and equipment, and to learn new software as it is required Ability to effectively organize work, determine priorities, including the ability to make decisions and complete assigned duties with minimal supervision Discretion and good judgment in dealing with sensitive and personal information with ability to maintain appropriate confidentiality Strong and effective spoken and written (English) communication skills including the ability to clearly explain policies and procedures Ability to establish and maintain effective working relationships with co-workers, representatives of cooperating agencies and the general public Ability to maintain and adhere to all applicable Sheriff's Office Rules of Conduct, Detention Center policies and procedures, and the Frederick County Government Personnel Rules and Regulations Ability to maintain the Frederick County Sheriff's Office training requirements PREFERENCE MAY BE GIVEN FOR
