In-office Position Overview:
Global Interpreting Services is seeking a dependable and detail-oriented Administrative Specialist to join our growing team. This role is essential to maintaining smooth daily operations by coordinating interpreting services, managing schedules, and supporting both clients and workforce members. This is a fast-paced, in-office position requiring strong organizational and communication skills.
Key Responsibilities:
Schedule and coordinate face-to-face interpreting services Build and maintain strong relationships with clients and vendors Manage and update workforce database Process daily invoicing accurately and efficiently Distribute and collect required agreements Respond promptly to all inquiries (phone, fax, email, web) Maintain and manage the daily operations calendar Assist with recruiting, interviewing, and hiring new workforce members Conduct new hire orientations and onboarding Create and issue new hire ID badges Handle daily appointment confirmations Oversee translation project workflows Compile and prepare daily and weekly reports Participate in nights and weekends on-call rotation
Qualifications:
1-2 years of administrative and/or staffing experience preferred Proficiency in Microsoft Office (Word, Excel, PowerPoint) Excellent verbal and written communication skills Strong organizational and multitasking abilities Ability to prioritize tasks and meet deadlines in a fast-paced environment Adaptable, flexible, and team-oriented mindset
