About the Role We are looking for a highly organized and proactive Administrative Operations Lead to support office operations and service coordination in the US. This role acts as a central hub for daily operations, working closely with service, sales, and external partners to manage quoting, scheduling, purchasing, and facility needs. You will play a key role in keeping the office running smoothly and supporting both internal teams and customer activities. What You Will Do Office & Service Coordination Support service and maintenance quoting with sales and service teams Coordinate calibration schedules and service activities with customers and external partners Align internal teams, schedules, and materials for service execution Manage shipping and receiving with a focus on accuracy and timeliness Purchasing & Vendor Coordination Create and track purchase orders Work directly with vendors and service providers Ensure timely delivery of supplies and services Facility & Office Management Coordinate building maintenance and vendor visits Track facility needs and service schedules Maintain an organized and efficient office environment Cross-Functional Support Serve as a key link between service, sales, and administrative teams Ensure clear communication and follow-up across stakeholders Support improvements to operational processes and workflows What Success Looks Like Service and calibration activities are coordinated and completed on time Quotes and purchasing are accurate and timely Shipping and receiving run smoothly with minimal delays Facility and vendor activities are well organized Internal teams feel supported and operations run without disruption What You Bring 3+ years of experience in office operations, administrative coordination, or service support Strong organizational and multitasking skills High attention to detail, especially in quoting and purchasing Ability to manage multiple priorities in a fast-paced environment Experience working with vendors and cross-functional teams Tools & Systems Microsoft 365 (Outlook, Excel, Teams) ERP or purchasing systems preferred Familiarity with shipping and logistics processes Education Associate or Bachelor's degree in Business, Operations, or a related field preferred Why Join Us Be part of a global organization within the Sandvik Group Work in a collaborative, team-focused environment Take on a visible, high-impact role supporting daily operations
