The Administrative Assistant and Scheduler plays a vital role in keeping LifeCircles PACE running smoothly by coordinating compassionate care for our participants. This position is responsible for scheduling Home Health Aides, building and maintaining contracted Home Health Agency schedules, and scheduling LifeCircles van transportation appointments. With organization, attention to detail, and a heart for service, the Scheduler helps ensure our participants receive seamless, reliable care that supports their independence and quality of life. 95 / hour Reporting To Tami Loyd Key Responsibilities Schedule LifeCircles Home Health Aides, Concierges, and LifeCircles Van Transportation Services for participant appointments and approved care, ensuring timeliness and efficiency. Build and manage schedules in the Electronic Health Record for LifeCircles team members, contracted agencies, and transportation services, maintaining accurate service tracking. Verify that all authorizations are in place for scheduled services. Communicate schedules and changes to team members, participants, and care partners. Monitor appointment availability and proactively escalate issues or conflicts as needed. Establish positive, collaborative relationships with LifeCircles team members, contracted agencies, and transportation staff. Address participant questions, concerns, and scheduling conflicts professionally and empathetically. Assist with on-call responsibilities as needed. If selected for the position you will receive a full job description. Skills, Knowledge & Expertise Healthcare scheduling, patient access, or medical office experience, required. Minimum of two (2) years scheduling experience, required. Minimum of (1) one year working with the frail and elderly, required. Proficiency in Electronic Health Records, scheduling software, and database navigation, required. Associate's degree in healthcare, business, or related field, preferred. Must possess current CPR certification by AHA or be willing and able to obtain as offered by LifeCircles. High school diploma or GED. Must have reliable transportation and a valid drivers license.
