Position Overview:
Gull Meadow Farms is seeking a dependable, highly organized HR & Operations Coordinator to support hiring, onboarding, employee communication, administrative systems, and day-to-day operational coordination across the farm. This role plays a key part in supporting operational organization, employee experience, internal systems, and day-to-day administrative coordination throughout the year. This position is ideal for someone who enjoys both people and processes and takes pride in helping operations run smoothly behind the scenes. The right candidate is proactive, detail-oriented, naturally thinks one step ahead, and thrives in a fast-paced seasonal environment where communication, follow-through, and adaptability are essential. This individual will work closely with leadership to strengthen operational processes, support employee experience, and contribute to a professional, well-managed workplace culture.
Key Responsibilities:
Administrative Operations & Systems Support Maintain and update internal databases, spreadsheets, digital records, and operational systems with a high level of accuracy Manage incoming and outgoing communication, emails, and follow-up correspondence as needed Prepare meeting agendas, summaries, and organizational documents for leadership and team communication Support system setup, data input, updates, and troubleshooting across various operational platforms Documentation & Process Coordination Assist in creating, formatting, updating, and organizing Standard Operating Procedures (SOPs) and internal documentation Ensure forms, templates, and operational documents remain current, organized, and easily accessible Help standardize internal communication materials and administrative processes across departments Identify opportunities to improve organization, efficiency, and clarity within existing systems and workflows Hiring, Onboarding & Employee Support Coordinate interview scheduling and candidate communication throughout the hiring process Track applications, candidate records, onboarding progress, and hiring documentation Coordinate onboarding activities, orientation preparation, and new hire administrative processes Maintain confidential employee records and documentation with professionalism and discretion Support employee communication, follow-up, and administrative HR processes as needed Coordinate training activities, employee engagement initiatives, and internal surveys Help support a positive, organized, and professional employee experience throughout the season Scheduling & Operational Coordination Support scheduling systems and administrative updates to ensure accuracy and organization Assist with maintaining operational calendars, timelines, and scheduling communication Coordinate internal communication and document distribution across departments Provide organizational support for meetings, projects, seasonal preparation, and operational initiatives Leadership & Team Support Provide day-to-day organizational and operational support to leadership Proactively anticipate administrative and operational needs and take initiative to address them Take ownership of assigned projects, tasks, and follow-up items from start to completion Contribute to a professional, well-managed, and team-oriented work environment Qualifications & Skills Proficiency in Microsoft Office, Google Workspace, and other digital systems/platforms required Strong written and verbal communication skills with the ability to communicate professionally and clearly Exceptional attention to detail, organization, and accuracy in both communication and administrative work Comfort learning and navigating new systems, software platforms, and operational tools Strong organizational, time-management, and follow-through skills Ability to work independently while also supporting a collaborative team environment Ability to handle confidential employee and operational information with professionalism and discretion Demonstrated ability to prioritize competing tasks and maintain follow-through in a fast-paced environment. Ability to anticipate needs, take initiative, and proactively support operational processes Previous experience in administrative support, operations coordination, HR support, hospitality, retail operations, or related fields preferred Experience supporting hiring, onboarding, scheduling, documentation, or employee communication processes preferred
Physical Requirements:
Ability to sit or remain at a workstation for extended periods while working on a computer and managing administrative tasks Frequent use of hands and fingers for typing, operating office equipment, and utilizing digital systems and software platforms Ability to occasionally stand, walk, bend, reach, and lift or move items up to 20 pounds Ability to navigate both office and on-site operational environments as needed, including indoor and outdoor areas of the farm Ability to adapt to a fast-paced seasonal work environment with varying activity levels throughout the year
Position Details:
Classification & Schedule:
Hourly position with full-time hours during the primary operational season and reduced part-time hours during the winter/off-season.
January-February:
Estimated hours: ~10-20 hours per week
March-August:
Estimated hours: ~30-40 hours per week September-October (Peak Season) Estimated hours: ~ 40+ hours per week
November-December:
Estimated hours: ~20-30 hours per week Hours may vary week to week based on operational needs, seasonal priorities, and event schedules
Work Environment:
Combination of office, operational, and on-site support responsibilities in both indoor and outdoor settings

$22.00 - $24.00 per hour
