We are seeking an experienced surgery scheduler for our Cath Lab. The Peripheral Cath Lab Surgery Scheduler coordinates and schedules minimally invasive procedures performed in the peripheral catheterization laboratory. This role ensures accurate scheduling, proper documentation, and seamless coordination between patients, clinical staff, and insurance providers. The scheduler plays a key role in securing authorizations and verifying coverage to support timely and compliant patient care. Qualifications 2+ years of surgery scheduling experience in a cath lab, radiology, or surgical setting 2+ years of experience with insurance verification and prior authorization processes required Associate's or Bachelor's degree in healthcare administration or related field preferred Strong knowledge of medical terminology, especially vascular/cardiology/ interventional radiology procedures Familiarity with EMR system Practice Fusion (not required but a plus) Understanding of insurance plans, authorization workflows, and payer requirements Excellent organizational and multitasking abilities Strong communication and customer service skills Attention to detail and ability to manage time-sensitive tasks
Key Responsibilities:
Scheduling & Coordination Schedule peripheral vascular procedures in the cath lab Coordinate procedure dates with physician schedule, nursing staff, and facility availability Communicate preparation instructions, arrival times, and pre-procedure requirements to patients Ensure all required documentation (orders, H&P, labs, testing, suthoriz) is complete prior to procedure Adjust schedules as needed for urgent auths cases Patient Communication Serve as primary contact for patients regarding scheduling and procedural logistics Educate patients on pre-procedure instructions (fasting, medications, transportation needs) Answer questions or direct clinical concerns to appropriate staff Insurance & Authorization Responsibilities Verify patient insurance eligibility and benefits prior to scheduling procedures Obtain prior authorizations for all scheduled ablations, MRI and CT imaging Submit clinical documentation to insurance companies to support medical necessity Track authorization status and follow up to ensure approvals are received before procedure dates Communicate authorization outcomes to clinical team and billing dept Ensure compliance with payer requirements, including Medicare, Medicaid, and commercial plans Resolve insurance denials or discrepancies prior to procedures whenever possible Administrative Duties Maintain accurate scheduling records in EMR and/or scheduling systems Enter and update patient demographics, insurance information, and procedure details Ensure HIPAA compliance in all patient interactions and documentation Generate daily, weekly, and monthly scheduling reports as needed including cancellations, no shows, and reschedules.
