Job Description

The Surgery Scheduler schedules all surgical procedures and assures that all of the appropriate clinical information is collected for the surgery schedule. The position requires utilization of clinical knowledge to schedule appropriate procedures/surgeries per provider's orders. The Surgical Scheduler must be able to respond to written, electronic, and oral correspondence regarding scheduling changes/cancellations in a timely, accurate manner. Also requires excellent customer service skills with patients, employees and the public. Individual must be organized and be able to manage a demanding workload with accuracy. May also help with surgery scheduling if needed.
Essential Functions of Job:
  • Schedules, coordinates, and, if necessary, reschedules patients' surgical appointments and surgery dates. Relays necessary information to other staff as needed.
  • Verifies all needed medical records and history from patients
  • Maintains and updates current information on physician's surgery schedules.
  • Enters notes/special instructions needed for scheduling in the electronic medical record
  • Completes pre-procedure phone calls and confirms appointment times with patients via telephone
  • Set post-surgical appointments with doctors and any other facilities as needed
  • Order patients' test and assess information from the report to determine if a patient is ready for surgery
  • Maintains a daily surgery schedule and surgical log for all departments concerned
  • Assure an appropriate coordination with other hospital departments when special surgical needs occur
  • File, collect, and organize pre and post operational data for reference
  • Independently prioritizes workflow to meet deadlines and productivity levels
  • Ability to communicate professionally with physicians, physicians' office staff, co-workers and patients.
  • Maintain and schedule all appointments for the physicians in EMR System
  • Schedules procedures and surgeries according to physicians preferences
  • Confers with physicians and medical assistants when questions arise
  • Mail surgical packets to patients with surgical information in a timely manner
  • Performs all other duties necessary to maintain the overall efficiency and continuity of the practice
  • Completes other duties as assigned by Clinical Manager
  • Report any unsafe situation or equipment to the Clinical Manager or Operations Director
  • Attends required meetings and participates in committees as requested

  • High School Diploma or equivalent Preferred Knowledge
  • Medical Assistant experience
  • Previous scheduling experience in a health care environment (office, clinic, or hospital)
  • Knowledge of medical terminology
  • Experience /Familiarity with EMR system
