Job Title:
Custody Operations Specialist Job Description The Custody Operations Specialist supports document custody operations within a large vault environment by managing loan files with precision and care. This role focuses on pulling and filing documents, verifying file locations, and conducting detailed research to locate misplaced files. You will work primarily on-site during 1st shift hours, spending most of the day on your feet in a fast-paced, production-oriented setting that requires strong attention to detail, analytical thinking, and consistent use of computer systems and Microsoft Excel. Responsibilities Perform daily vault operations, including pulling loan files, returning files to their proper locations, and conducting quality control checks to ensure accurate filing. Verify that loan files are stored in the correct locations, organized by customer and loan number, and promptly correct any discrepancies. Search shelves thoroughly when a file appears to be missing, ensuring all sections of the shelf and surrounding areas are checked. Use computer systems and search tools to research the location of misplaced files, including reviewing where the file was last seen and identifying related files brought in at the same time. Inspect desks, under desks, carts, and other storage areas to locate missing or misfiled documents based on research clues. Maintain a high level of organization and accuracy while working in a production-based environment with consistent output expectations. Utilize Microsoft Office applications, especially Excel, to support research, tracking, and documentation of file locations and custody activities. Navigate multiple computer systems and databases to retrieve, verify, and update information related to loan files and document custody. Communicate clearly and professionally with team members, both verbally and in writing, to resolve file issues and coordinate daily tasks. Multitask effectively by managing multiple file requests, research tasks, and quality control activities throughout the day. Follow established procedures and guidelines to ensure the security, integrity, and confidentiality of all loan files handled in the vault. Lift boxes or files weighing up to 30 pounds and safely use step stools as needed to access files stored at various heights. Remain on your feet for the majority of the shift while moving throughout the vault to complete file pulls, returns, and searches. Contribute to a safe, orderly, and efficient vault environment by keeping work areas tidy and reporting any issues or discrepancies promptly. Essential Skills Basic Microsoft Office skills, with a strong emphasis on proficiency in Microsoft Excel. Experience working in a production-based environment with measurable output or performance expectations. Excellent verbal, written, and interpersonal communication skills to collaborate effectively with team members. Strong analytical skills with a high level of attention to detail and accuracy when handling and verifying documents. Ability to navigate multiple computer systems, applications, and databases, and to use search tools to locate information. Ability to multitask effectively in a fast-paced setting while maintaining accuracy and organization. Ability to lift up to 30 pounds safely as part of daily vault operations. Ability to remain on your feet for most of the day while walking and moving throughout a large vault. Comfort using step stools and working with large volumes of physical files in a structured filing system. Additional Skills & Qualifications Experience in production, operations, or similar high-volume environments. Experience with document custody, vault operations, or filing systems. Familiarity with Microsoft Office beyond Excel, such as Outlook and Word. Demonstrated ability to maintain focus and accuracy while handling repetitive tasks. Comfort working with carts and other basic material-handling tools in an office-warehouse setting. Why Work Here? Work Environment This role is based in a quiet but very large vault that functions as an office-warehouse filled with loan files organized by customer and loan number. You will be on your feet approximately 80% of the time, walking throughout the vault, using carts, and occasionally climbing step stools to access files at different heights. The dress code is business casual, and comfortable shoes are strongly recommended; tennis shoes are acceptable. The environment combines physical file handling with frequent use of computers, multiple databases, and Microsoft Office tools, especially Excel. Standard hours are 8:00 a.m. to 4:30 p.m., Monday through Friday, providing a consistent daytime schedule in a structured, production-oriented setting. Job Type & Location This is a Contract to Hire position based out of Minneapolis, MN. Pay and Benefits The pay range for this position is $18.00 - $18.00/hr.
